Horecons is looking for an organized, proactive, and highly dependable Junior Office & Accounting Admin to join our team.
This is a hybrid role combining office administration, project coordination, documentation, and day-to-day operational support.
We are looking for someone who enjoys keeping things organized, following up with people, tracking deadlines, and making sure that tasks don't get lost between departments.
Projects Management
- Support the coordination and management of ongoing creative, digital, events, exhibitions, and client projects.
- Maintain project schedules, task lists, deadlines, priorities, and internal follow-ups.
- Follow up with team members on pending tasks, deliverables, approvals, and required information.
- Coordinate meetings and maintain proper meeting records, action points, and follow-up items.
- Prepare and organize project documentation, briefs, reports, quotations, presentations, and related files.
- Follow up with suppliers, contractors, and external partners when required.
- Assist Project Managers and Management in keeping projects progressing according to schedule.
- Maintain updated project folders and ensure documentation is properly organized.
- Coordinate project requirements between Creative, Digital, Production, Sales, suppliers, and Management.
- Assist in tracking project requirements, costs, quotations, purchases, and supplier documentation.
- Support the preparation and follow-up of project timelines and execution plans.
- Flag delays, missing information, pending approvals, or potential issues before they affect project delivery.
- Help ensure that assigned tasks and responsibilities are followed through until completion.
Administrative & Financial Support
- Handle general day-to-day office administration and support the smooth operation of the office.
- Organize appointments, meetings, calendars, internal schedules, and administrative requirements.
- Prepare letters, documents, reports, quotations, presentations, and administrative correspondence.
- Maintain proper digital and physical filing systems.
- Coordinate office supplies, purchases, subscriptions, and general office requirements.
- Maintain records related to suppliers, quotations, invoices, contracts, expenses, and administrative documents.
- Provide general accounting and bookkeeping support, including organizing invoices, receipts, expenses, payments, and related financial records.
- Assist with preparing and maintaining basic financial and accounting documentation when required.
- Follow up with suppliers regarding quotations, invoices, payments, deliveries, and supporting documents.
- Assist with travel arrangements, bookings, and logistical requirements when needed.
- Support Management with administrative, accounting, organizational, and operational tasks.
- Ensure internal requests, documents, approvals, and administrative matters are properly followed through until completion.
- Maintain confidentiality when handling company, financial, employee, and client information.
Candidate Profile
- 1–3 years of experience in project coordination, administration, office management, accounting support, or a similar role.
- Degree or diploma in Business Administration, Accounting, Finance, Management, or a related field.
- Strong project coordination, organizational, and follow-up skills.
- Able to understand project requirements, priorities, timelines, and dependencies.
- Comfortable coordinating several tasks and projects simultaneously.
- Basic knowledge of accounting, invoicing, expenses, payments, and financial documentation.
- Good knowledge of Microsoft Excel, Word, Outlook, and general office applications.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Professional when communicating with clients, suppliers, partners, and internal teams.
- Able to work independently and take ownership of assigned responsibilities.
- Strong sense of urgency and ability to prioritize effectively.
- Comfortable working within a fast-moving, creative, and project-driven environment.
- Proactive and dependable, with the ability to follow up and move matters forward without constantly requiring reminders.
Technical Skills
Strong working knowledge of:
- Microsoft Office

- Project and task management platforms
- ERP & Accounting Software Usage
Experience with CRM, project management, or collaboration systems is considered an advantage.
