◆ Finance & Financial Administration
• Take primary management ownership of the center's financial administration and act as the principal center interface with Finance.
• Prepare and control departmental budget inputs, forecasts, cost tracking, variance review and supporting operational financial data.
• Monitor departmental costs, consumables, recurring expenses, approved spending and cost-performance indicators against budget and operating plans.
• Ensure invoices, receiving documents, payment-support records, petty-cash or approved expense documentation and financial submissions are complete, accurate and timely.
• Coordinate financial reconciliations and management reporting while the Wellness Manager retains ownership of daily sales performance and guest-facing commercial action.
• Maintain strong financial controls, approval discipline and traceable supporting documentation.
◆ Human Resources & Workforce Administration
• Take primary management ownership of HR administration for the center and act as the principal center interface with Human Resources.
• Coordinate manpower requests, recruitment administration, onboarding, contracts / documentation, attendance, rosters, leave, payroll inputs and employee-file requirements.
• Maintain accurate manpower data, organization charts, role allocations and staffing records, highlighting shortages, vacancies and workforce risks to the General Manager / CEO.
• Coordinate employee-relations administration, disciplinary documentation, training records and required HR follow-up with the responsible HR function.
• Preserve line managers' accountability for day-to-day leadership and performance while ensuring all workforce administration is controlled and documented.
• Ensure confidential employee information is handled securely and discreetly.
◆ Procurement, Inventory & Receiving
• Take full management ownership of procurement from approved requirement through request, quotation/sourcing coordination, purchase order, delivery, receiving and closure.
• Maintain procurement trackers showing request status, approval stage, supplier follow-up, expected delivery date, receiving status, outstanding actions and exceptions.
• Coordinate directly with Purchasing on specifications, quotations, orders and delivery follow-up, escalating critical shortages or delays.
• Control inventory, par levels, stock movement, replenishment and storage requirements for wellness, Clinic, F&B-support and operational supplies within the assigned scope.
• Ensure receiving checks, documentation and handover are accurate and that delivered items match approved specifications and quantities.
• Lead stock counts, variance follow-up, obsolete-item review and controls designed to prevent shortage, waste, loss or duplicate purchasing.
◆ Hygiene, Sanitation, Health & Safety
• Take full management ownership of hygiene and sanitation standards across the center, ensuring required controls are implemented consistently and documented.
• Coordinate Hygiene, Health & Safety, Engineering and relevant specialists on inspections, cleaning standards, sanitation schedules, pest control, water/facility checks and other applicable requirements.
• Maintain required hygiene, sanitation, Health & Safety, incident, maintenance, training, inspection and compliance records in an organized and audit-ready format.
• Own corrective and preventive action follow-up arising from hygiene, sanitation, safety, audit or inspection findings, ensuring documented closure and escalation of overdue matters.
• Ensure operational teams receive required hygiene, sanitation and safety briefings and that material compliance or risk gaps are escalated immediately to the General Manager / CEO.
◆ Technical Matters, Engineering & Asset Management
• Take full management ownership of all technical matters related to the center, coordinating Engineering, maintenance, specialist vendors and contractors as required.
• Maintain a controlled record of wellness assets, medical / wellness equipment, furniture, technical systems and operational items, including condition, maintenance status and replacement requirements.
• Ensure preventive maintenance, repairs, defects, equipment servicing, utilities and technical requirements are planned, tracked and closed in a timely manner.
• Coordinate installation, commissioning, servicing, contractor access and technical project activity, escalating any unresolved matter that creates safety, compliance, cost or continuity exposure.
• Ensure the physical operating environment remains ready to support the Clinic, wellness programs, F&B, Beach and guest activities.
◆ Systems, Reporting & Internal Control
• Maintain accurate management information covering Finance, HR, Procurement, inventory, hygiene, sanitation, Health & Safety, technical matters, assets and pending actions.
• Ensure administrative records, departmental databases and operational systems are current, controlled and accessible to authorized users.
• Build and maintain practical trackers and dashboards that clearly show status, ownership, deadlines, exceptions and closure.
• Analyze recurring support or technical issues and recommend process improvements, controls, resource changes or corrective action to the General Manager / CEO.
• Provide concise periodic reporting on cost, manpower, procurement, compliance, technical risks and unresolved operational actions.
◆ Suppliers, Contractors & Business Continuity
• Maintain structured working relationships with approved suppliers, service providers, maintenance companies and contractors supporting the center.
• Coordinate supplier documentation, quotations, contracts / service arrangements, delivery schedules, technical visits and performance follow-up with the relevant corporate functions.
• Track supplier and contractor issues affecting cost, timing, hygiene, technical quality or operational continuity and escalate unresolved matters appropriately.
• Anticipate internal requirements that could interrupt operations, including staffing gaps, delayed procurement, stock shortages, sanitation concerns, equipment downtime, technical failures or incomplete approvals.
• Maintain contingency follow-up for critical supplies, equipment, utilities and services and
coordinate practical alternatives when required.
• Support pre-opening, renovation, expansion and project activity through structured finance, HR, procurement, technical, contractor and readiness tracking.
◆ Coordination with the Wellness Manager
• Provide the finance, people administration, procurement, hygiene, sanitation and technical support required for guest programs, Clinic operations, F&B, Beach, activities, sales initiatives and marketing events.
• Translate approved guest-facing requirements into budgets, staffing actions, purchase requests, stock plans, technical actions and compliance controls.
• Maintain a clear boundary between guest-facing commercial ownership and internal operational control: the Wellness Manager owns guest experience and daily sales; the Wellness Operations Manager owns the support platform and internal controls.
• Escalate any support-function risk that could materially affect guest experience, compliance, cost, business continuity, or brand standards.
◆ Qualifications
• Bachelor's degree or recognized professional qualification in Hospitality Management, Business Administration, Finance, Accounting, Human Resources, Supply Chain, Engineering Management or a related discipline.
• Additional qualifications in finance, procurement, HR administration, hygiene/quality systems, project coordination, facilities management or hotel operations are an advantage.
• Strong understanding of hospitality business controls, finance administration, HR processes, procurement workflow, inventory, hygiene, sanitation, Health & Safety and technical follow-up.
• Strong numerical, analytical and commercial awareness, with confidence working with budgets, costs, payroll inputs, purchasing documentation, inventories and management reports.
• Excellent organization, documentation, prioritization and follow-up capability with strong attention to detail.
• High level of integrity, discretion, accountability and practical problem-solving ability.
• Fluent spoken and written Arabic is essential, together with strong professional English.
