Front desk receptionist
Key responsibilities
Welcome patients and visitors professionally and assist with check-in and check-out.
Answer telephone calls, WhatsApp messages, and emails promptly and courteously.
Explain available services, appointment procedures, and fees using clinic-approved information.
Schedule and confirm appointments, send reminders, and manage cancellations, rescheduling, and waiting lists.
Coordinate appointments across clinicians, rooms, and services.
Register patients, update contact details, and ensure required intake and consent forms are completed.
Maintain accurate patient records and protect confidential information.
Collect payments, issue receipts, and record transactions accurately.
Coordinate follow-up appointments and relay patient requests to the appropriate clinician.
Track hearing aid orders, repairs, and collections in coordination with the audiologists.
Keep the reception and waiting areas tidy, comfortable, and organized.
Monitor office supplies and notify management when replenishment is needed.
Support routine administrative tasks, including scanning, filing, and preparing documents.
Handle concerns respectfully and refer clinical questions or complaints to the appropriate team member.
