Role DescriptionThe Automotive Service Advisor is responsible for managing communication between customers and the automotive service team, ensuring that vehicle concerns, maintenance requirements, and repair needs are clearly understood and efficiently coordinated. The role combines customer service, automotive knowledge, service planning, and administrative coordination to deliver a smooth and professional service experience.
The position acts as the main contact for customers throughout the service process. Responsibilities include receiving vehicle service requests, understanding customer concerns, gathering relevant vehicle information, arranging inspections, and coordinating with technicians to determine appropriate service or repair requirements.
The Service Advisor communicates inspection findings and recommended repairs to customers in a clear and professional manner. This includes explaining technical issues, maintenance requirements, repair options, estimated costs, and expected service timelines while ensuring that customers understand the proposed work before authorization.
Key responsibilities include creating and updating work orders, coordinating vehicle inspections, monitoring repair progress, checking parts availability, and providing timely updates. The role works closely with technicians, workshop teams, parts departments, warranty personnel, suppliers, and management to ensure that service activities are properly coordinated.
Customer satisfaction is a major responsibility. The Service Advisor responds to questions, follows up on service requests, manages concerns, and handles complaints professionally. The role should maintain a customer-focused approach while balancing customer expectations with technical recommendations, workshop capacity, and operational requirements.
The position also supports preventive maintenance and service planning by reviewing vehicle condition, service history, manufacturer recommendations, and inspection results. The Service Advisor may recommend maintenance services or repairs that can improve vehicle reliability, safety, and long-term performance.
Accurate documentation is essential. The role maintains service records, inspection results, repair recommendations, customer approvals, invoices, parts information, and other relevant documentation. Proper records ensure transparency and support future service requirements.
The Service Advisor may also coordinate estimates and additional work. When technicians identify further repair requirements, the position reviews the findings, communicates the recommendations to the customer, obtains the appropriate approval, and ensures that authorized work is accurately reflected in the service documentation.
Digital systems are an important part of the role. The position may use dealership management systems, workshop management software, CRM platforms, digital inspection applications, appointment scheduling tools, and electronic service records to manage customer and vehicle information.
The role also contributes to workshop efficiency by coordinating appointments, vehicle handovers, service priorities, customer communication, and completion updates. Strong organization and communication help ensure that vehicles progress through the service process efficiently and that customers receive accurate information at each stage.
Qualifications
- * Diploma or Bachelor’s degree in Automotive Technology, Mechanical Engineering, Automotive Management, Business Administration, or a related field is preferred.
- Strong understanding of automotive systems, vehicle maintenance, repair procedures, inspections, and workshop operations.
- Ability to understand vehicle symptoms and customer concerns and communicate technical information clearly.
- Familiarity with preventive maintenance, scheduled servicing, diagnostics, mechanical repairs, and electrical systems.
- Strong customer-service and relationship-building skills.
- Excellent verbal and written communication skills with a professional and approachable manner.
- Ability to prepare and manage work orders, service requests, estimates, inspection reports, and related documentation.
- Familiarity with automotive dealership, workshop management, CRM, or service scheduling systems.
- Ability to coordinate effectively with technicians, workshop personnel, parts teams, warranty departments, suppliers, and management.
- Strong organizational skills with the ability to manage multiple service requests, appointments, and customer interactions.
