About the Job
We are looking for a Procurement Specialist who is responsible for supporting the day-to-day purchasing activities of the organization by sourcing goods and services, obtaining quotations, processing purchase orders, and ensuring timely delivery. This role ensures that all procurement activities are conducted in line with company policies, while maintaining accurate records and contributing to cost efficiency and supplier reliability.
Key Responsibilities
- Process purchase requisitions and generate purchase orders in line with company procedures.
- Obtain and compare quotations from approved vendors to ensure best value for money.
- Follow up on order approvals, vendor confirmations, and delivery timelines.
- Communicate with suppliers to confirm product availability, lead times, and delivery status.
- Assist in supplier registration and documentation collection.
- Address routine issues related to product quality, delays, or discrepancies in orders.
- Maintain accurate procurement files, including POs, quotations, invoices, and delivery notes.
- Ensure all procurement folders (both physical and digital) are well-organized and audit ready.
- Update procurement trackers regularly to reflect the status of requests and orders.
- Support cost-saving efforts by identifying competitive suppliers or alternatives.
- Monitor price changes in the market and report significant fluctuations to the supervisor.
- Coordinate with the warehouse and other departments to ensure timely delivery and receipt of items.
- Assist in processing returns or exchanges of incorrect or damaged goods.
- Ensure all procurement activities comply with internal policies and procurement guidelines.
- Report any issues or irregularities in procurement processes to the supervisor.
- Attend department meetings and coordinate with other departments on procurement-related matters.
Job Requirements
- Educational Level/ Required Certificates: Bachelor’s degree in business administration, Supply Chain Management, or a related field.
- Experience: Minimum 3 years of experience in a procurement or purchasing role. Knowledge of procurement software and ERP systems (SAP, ODOO, etc.) preferred.
