JOB PURPOSE:
The Logistics Coordinator is responsible for executing day-to-day customs clearance activities for inbound shipments, ensuring all goods are cleared in full compliance with Kuwait customs regulations and within defined lead times. The role supports the Logistics Clearance Supervisor in managing documentation collection, port status tracking, demurrage prevention, and warehouse coordination, contributing to cost-efficient and timely clearance operations across Alyasra Foods, MYS Group and other group entities.
Key Responsibilities
Customs Clearance Operations
- Execute day-to-day customs clearance activities for inbound shipments in accordance with Kuwait customs regulations and company procedures.
- Prepare, review, and submit all required customs and PAFN clearance documents accurately and on time.
- Follow up with customs agents and brokers to ensure declarations are processed and goods are released within target timelines.
- Track the status of shipments at port from ETA through to final clearance and update the port status tracker daily.
- Coordinate with the Logistics Clearance Supervisor on shipment priorities, documentation gaps, and clearance progress.
- Ensure all clearance records are maintained accurately and are audit-ready at all times.
Document Collection & Bank Coordination
- Follow up with Procurement, Category, and supplier teams to ensure shipping documents are received before shipment arrival.
- Coordinate with banks and Finance for the timely collection of original documents required for customs clearance.
- Track document readiness and flag any delays or missing items to the Logistics Clearance Supervisor promptly.
- Ensure delivery orders are obtained from shipping lines within agreed timeframes.
- Maintain organized and accurate records of all import documentation, delivery orders, and bank correspondence.
Cost Control & Demurrage Management
- Monitor free days and port status for all active shipments to prevent avoidable demurrage and detention charges.
- Follow up on the timely return of empty containers within free time limits.
- Track and report any additional port charges, amendments, penalties, or refundable deposits to the Logistics Clearance Supervisor.
- Support Finance in following up on refund claims and charge recoveries from shipping lines or suppliers.
- Flag any risk of demurrage or extra costs to the Supervisor as early as possible to allow timely action.
Inbound Planning & Warehouse Coordination
- Coordinate daily inbound shipment planning with the Warehouse team based on clearance status, priority, and shipment type.
- Provide accurate and timely shipment readiness updates to the Warehouse and relevant internal teams.
- Liaise with shipping lines, port authorities, and customs to facilitate the smooth physical release of goods.
- Ensure all relevant parties are informed of any clearance delays or changes affecting inbound delivery timelines.
Clearance Office Support
- Support clearance operations for other MYS Group companies as directed by the Logistics Clearance Supervisor.
- Maintain accurate clearance trackers and contribute to minimizing delays, extra costs, and service disruptions.
- Assist in identifying opportunities to improve clearance efficiency and service quality.
- Provide ad hoc administrative and operational support to the logistics team as required.
EDUCATION AND EXPERIENCE:
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum of 1–3 years of experience in customs clearance, logistics operations, or freight forwarding.
- Working knowledge of Kuwait customs regulations, the Bayan system, and General Administration of Customs processes.
- Hands-on experience with delivery orders, customs declarations, and port clearance procedures.
- Familiarity with banking documentation processes for import shipments is an advantage.
- Professional certification in logistics or customs (e.g., CILT, FIATA, or equivalent) is an advantage.
- Strong attention to detail with the ability to track multiple active shipments simultaneously.
- Good communication and coordination skills for working with customs agents, brokers, and internal teams.
- Proficiency in ERP and logistics management systems; strong Microsoft Excel skills.
