Position Overview
The HR Generalist provides hands-on support across the employee lifecycle for a multi-company organization with office and manufacturing operations, with primary emphasis on full-cycle recruiting and on benefits and leave administration. This role helps ensure that HR processes are timely, consistent, well documented, and compliant while serving as an accessible resource for employees and managers.
The HR Generalist independently manages assigned priorities, handles routine employee and manager questions, and escalates sensitive or higher-risk matters to the HR Manager. The position requires sound judgment, discretion, attention to detail, and the ability to build trust with employees at all levels.
This role is best suited for a proactive HR professional who is comfortable moving between administrative work and employee-facing responsibilities. Success is measured by follow-through, responsiveness, accurate records, respectful employee support, and practical improvements to HR operations.
Key Responsibilities
Talent Acquisition and Onboarding
- Coordinate the recruitment lifecycle from creating job postings, managing various recruitment platforms, screening resumes, conducting initial phone screens, scheduling and participating in interviews, extending offers of employment, and facilitating a seamless onboarding experience for new hires.
- Partner with hiring managers to support efficient hiring processes and positive candidate experiences.
- Administer onboarding activities, including new-hire documentation, orientation, I-9 completion, and policy acknowledgments.
- Track and complete onboarding requirements to ensure an organized and compliant new-hire experience.
- Source and build candidate pipelines for recurring and hard-to-fill roles through job boards, employee referrals, community partnerships, and local hiring events.
- Manage requisitions and candidate records, and report on pipeline status, time-to-fill, and other recruiting metrics.
- Coordinate pre-employment screening, including background checks, reference checks, and drug testing, in accordance with company policy.
- Manage day-to-day relationships with staffing agencies and external recruiters, escalating rate and contract matters to the HR Manager.
- Maintain accurate recruiting and onboarding records.
Employee Relations and Workforce Support
- Serve as a trusted resource for employee questions regarding company policies, benefits, attendance, pay practices, and workplace expectations.
- Provide managers and supervisors with guidance on performance management, attendance, documentation, corrective action, and policy interpretation.
- Support employee relations matters by gathering information, maintaining documentation, and ensuring appropriate follow-up.
- Assist with workplace investigations, conflict resolution, and employee issue resolution while maintaining confidentiality.
- Coordinate employee separation processes, including required documentation, notifications, and transition activities.
Benefits and Leave Administration
- Administer employee benefit programs, including enrollment, life-event changes, and termination processing.
- Respond to employee benefit inquiries and coordinate issue resolution with vendors and internal partners.
- Track and administer leave requests and return-to-work documentation.
- Educate employees on available benefits, leave options, and HR processes.
- Support annual open enrollment activities and benefits communications.
- Serve as the primary day-to-day contact for medical, dental, vision, life, disability, and 401(k) questions and escalations.
- Administer FMLA, ADA accommodation, and applicable state leave processes, including eligibility determinations, required notices, and the interactive process.
- Reconcile monthly benefit invoices and carrier eligibility files, resolving discrepancies with vendors and payroll.
- Support benefits compliance activities, including continuation-of-coverage administration (COBRA or applicable state continuation), required plan notices and filings, and any ACA reporting obligations applicable to the company.
HR Systems, Records, and Payroll Support
- Maintain accurate employee data and organizational records.
- Process employee status changes, compensation updates, transfers, leaves, and terminations.
- ·Maintain organized, complete, and confidential personnel records in accordance with company requirements.
- Review timekeeping, PTO, and employee data transactions for accuracy and support payroll processing activities.
- Prepare employment verifications, reports, audits, and workforce data as needed.
Compliance, HR Operations, and Continuous Improvement
- Support compliance with applicable federal, state, and local employment laws and company policies.
- Administer HR processes related to I-9 compliance, E-Verify, record retention, and required employment documentation.
- Assist with workers' compensation, unemployment claims, and other employment-related programs.
- Develop, maintain, and improve HR procedures, forms, templates, and tracking tools.
- Identify opportunities to improve efficiency, employee experience, and HR service delivery.
- Support HR projects, training initiatives, employee communications, audits, and other departmental priorities.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent combination of education and experience will be considered.
- Four to six years of progressive human resources experience, preferably in a manufacturing, warehouse, or other employee-intensive environment.
- HR Certification (SHRM-CP, PHR) is preferred.
- Working knowledge of federal and state employment laws, regulations, and HR best practices.
- Demonstrated hands-on experience owning full-cycle recruiting and benefits and leave administration, plus experience supporting onboarding, employee relations, HRIS administration, and offboarding.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities while meeting deadlines.
- Excellent written and verbal communication skills, with the ability to explain HR policies, processes, and requirements clearly and professionally.
- Ability to handle confidential and sensitive information with discretion, sound judgment, and professionalism.
- Demonstrated ability to build effective working relationships with employees, supervisors, managers, and senior leaders.
- Ability to work independently while collaborating effectively within a small HR team.
- Proficiency with Microsoft Office, HRIS platforms, applicant tracking systems, and benefits administration or carrier portals.
