The RoleWe are seeking an experienced Senior Import Documentation Specialist to lead import documentation, customs paperwork, shipment records, regulatory documentation, document verification, broker coordination, and import-compliance activities.
The ideal candidate will ensure that import documentation is complete, accurate, timely, and compliant with applicable customs and trade requirements, while working closely with suppliers, freight forwarders, customs brokers, carriers, warehouses, Finance, Procurement, and internal business teams to resolve documentation issues and prevent shipment delays.
Key Responsibilities
- * Develop and maintain import documentation procedures, standards, checklists, and controls.
- Manage end-to-end documentation requirements for inbound international shipments.
- Review import documentation before shipment departure and customs clearance.
- Verify commercial invoices for accuracy, completeness, and consistency with shipment details.
- Review packing lists, bills of lading, air waybills, certificates of origin, permits, licenses, and other import documents.
- Verify product descriptions, quantities, values, weights, dimensions, country of origin, and other shipment information.
- Ensure consistency across commercial invoices, packing lists, transport documents, purchase orders, and customs declarations.
- Review customs documentation and supporting records for completeness and accuracy.
- Coordinate with customs brokers and freight forwarders to ensure timely preparation and submission of import documentation.
- Provide brokers with required documentation and supporting information within agreed timelines.
- Monitor customs clearance status and escalate documentation issues that may delay shipments.
- Track import shipments from document preparation through customs clearance and final delivery.
- Maintain accurate import documentation trackers and shipment-status records.
- Coordinate with suppliers to obtain missing, corrected, or updated import documentation.
- Establish supplier documentation requirements and communicate them clearly to international vendors.
- Review supplier documents for recurring errors, inconsistencies, missing information, and compliance gaps.
- Develop supplier feedback and corrective-action processes for documentation deficiencies.
- Coordinate with Procurement to ensure import-documentation requirements are incorporated into supplier arrangements and purchase orders.
- Work with Logistics teams to align documentation with shipment schedules, transportation modes, and delivery requirements.
- Coordinate with Warehousing teams regarding inbound shipment documentation and receiving requirements.
- Provide Finance teams with accurate documentation required for invoice processing, landed-cost analysis, and accounting records.
- Support customs valuation activities by ensuring relevant commercial and financial information is accurately documented.
- Review customs values, freight charges, insurance costs, assists, royalties, and other relevant valuation information where applicable.
- Support customs classification processes by ensuring product information and technical descriptions are sufficient for accurate tariff classification.
- Coordinate with Customs and Trade Compliance teams on tariff codes, origin requirements, valuation, and import restrictions.
- Maintain records supporting preferential origin claims, free-trade agreements, duty exemptions, and other customs benefits where applicable.
- Coordinate certificates of origin, preferential origin documentation, and other origin-related records.
- Verify import permits, licenses, certificates, and regulatory approvals required for controlled or restricted products.
- Monitor expiration dates for import permits, licenses, certificates, and other time-sensitive documentation.
- Coordinate renewal or replacement of documents before expiration.
- Support imports involving regulated, controlled, hazardous, temperature-sensitive, pharmaceutical, food, chemical, or other specialized products where applicable.
- Ensure specialized import documentation is aligned with applicable regulatory and customs requirements.
- Review dangerous goods documentation where relevant and coordinate with qualified specialists.
- Monitor customs clearance deadlines, free-time periods, demurrage risks, detention exposure, and documentation-related delays.
- Escalate incomplete or inaccurate documents before shipment arrival whenever possible.
- Coordinate urgent documentation corrections to minimize customs delays and additional costs.
- Maintain documentation standards for different countries, ports, airports, customs authorities, and transportation modes.
- Monitor changes in import documentation requirements across relevant markets.
- Assess regulatory changes and update internal documentation procedures accordingly.
- Support customs audits and post-entry reviews by providing complete and traceable documentation.
- Maintain organized import records for customs, regulatory, financial, and internal audit purposes.
- Ensure documentation is retained according to applicable legal, regulatory, tax, and records-management requirements.
- Maintain secure electronic and physical repositories for import documentation.
- Implement document-control procedures covering version management, approvals, access, and retention.

Ideal CandidateThe successful candidate should have strong experience in import documentation, customs operations, international trade, freight forwarding, logistics documentation, customs brokerage, or trade compliance, preferably within a multinational, manufacturing, retail, pharmaceutical, food, industrial, e-commerce, or complex international supply chain environment.
The candidate should demonstrate:
- Strong understanding of import documentation and international shipping processes.
- Proven experience managing import documentation across multiple shipments, suppliers, countries, and transportation modes.
- Strong knowledge of commercial invoices, packing lists, bills of lading, air waybills, certificates of origin, permits, and customs declarations.
- Experience coordinating with customs brokers, freight forwarders, carriers, suppliers, and government authorities.
- Strong understanding of customs clearance processes and import requirements.
