We are seeking a highly professional, discreet, and experienced Secretary to the Chairman to provide direct executive and administrative support to the Chairman and the Assistant to the Chairman for Finance & Administration.
This is a position of high trust and confidentiality, requiring exceptional judgment, integrity, discretion, and professionalism. The successful candidate will be entrusted with sensitive executive correspondence, confidential documents, internal reports, business information, and matters related to the Chairman’s Office.
A strong commitment to confidentiality, privacy, information protection, and professional ethics is therefore essential for this role.
Key Responsibilities
• Manage and coordinate the Chairman’s business calendar, including executive meetings, appointments, site visits, and other official engagements.
• Assist the Chairman and the Assistant to the Chairman for Finance & Administration in coordinating schedules, business meetings, follow-ups, and related executive matters.
• Manage, organize, track, and archive executive documents, correspondence, reports, and records while maintaining strict document control and confidentiality.
• Liaise professionally with government departments and regulatory authorities, including DIFC, as and when instructed by the Chairman.
• Accurately translate reports, documents, correspondence, and materials submitted by various departments into Arabic for the Chairman’s review and reference.
• Coordinate the Chairman’s international business travel arrangements, including flight bookings and hotel reservations.
• Handle sensitive information, executive communications, and confidential documentation with the highest level of privacy, discretion, and professional judgment.
• Ensure that confidential information accessed through the Chairman’s Office is appropriately protected and is not disclosed, circulated, copied, or discussed with unauthorized parties.
Candidate Profile
• Language: Arabic Speaker and English
• Education: Bachelor’s degree in Business Administration, Communications, or a related field.
• Experience: Minimum 5+ years of relevant experience in a similar executive secretarial or senior administrative support role.
• Strong proficiency in MS Office tools, document archival, and document tracking systems.
• Excellent communication, coordination, and IT skills.
• Strong organizational skills with the ability to multitask, prioritize effectively, and manage multiple stakeholders.
• Exceptional attention to detail and the ability to handle sensitive matters with sound professional judgment.
• Demonstrated integrity, confidentiality, discretion, and respect for privacy when handling executive, personal, financial, or business-sensitive information.
• Ability to operate professionally in a high-trust executive environment and maintain strict confidentiality at all times.
