The role
You'll be the CEO's right hand for operations. You'll keep the office, paperwork and people admin running so the team can focus on client work. This isn't a "take instructions and file things" job. You'll own outcomes, not just tasks.
What you'll own
Supporting the CEO
- Run the CEO's calendar end to end. Prioritise, protect focus time, and make sure every meeting has a purpose, an agenda and the right people.
- Prepare briefing notes, take minutes, and follow every action item until it's done.
- Sort the inbox, handle follow-ups, draft letters and emails in English and Arabic, and plan travel.
Office and compliance
- Keep the office running: supplies, maintenance, building management and equipment.
- Track company licences and renewals (MOCI, CAPT, PAM and others) on a compliance calendar. Work with our PRO, legal and finance so nothing lapses.
People admin and documents
- Help track leave and attendance, run onboarding and offboarding checklists, keep employee files, and schedule interviews.
- Maintain a clean, searchable digital filing system.
- Prepare, format and track proposals, letters and agreements. Route them for approval and signature with our finance, commercial and legal teams.
- Put together the regular operations reports.
- Welcome clients, partners and talent who visit, and help with shoot-day logistics when needed.
What you bring
- 3+ years as an executive assistant or office coordinator
- Fluent English. Arabic strongly preferred
- Strong Google Workspace skills, and you use AI tools to work faster
- Discretion, and the confidence to push back on senior people and follow up with them
- Agency experience (media, marketing or creative) is a strong plus
- Familiarity with Kuwait government e-services (Sahel, MOCI, PAM) is a plus
What we offer
- KWD 400–600 per month, depending on experience
