The LAU Pharmaceutical & Medical Research Center (PMRC) is currently looking for an Administrative Coordinator reporting to the Executive Director. This is a central position that is based on the Byblos campus.
Role Summary
The Administrative Coordinator is mainly responsible for providing comprehensive administrative and operational support to the PMRC by handling schedules, coordinating communications, preparing reports, presentations, and Board materials, organizing documentation, and assisting with project coordination and follow-up.
Main Duties & Responsibilities
- Provides administrative and operational support to the PMRC, including the preparation of documents, maintenance of records and files, and follow-up on office matters
- Prepares meeting agendas and compiles relevant materials; takes minutes when needed and follows-up on action items and decisions
- Conveys the supervisor’s directives or requests to relevant individuals/departments and facilitates the exchange of information with others as needed
- Schedules appointments and arrangements for meetings, conferences, and travel while ensuring the proper coordination of related logistics and materials
- Prepares letters and memoranda for signature and drafts correspondence, reports, presentations, and other documents as requested
- Organizes and expedites flow of work through supervisor’s office and initiates any follow-up action
- Prepares and coordinates presentations, briefing notes, reports, and supporting materials for the supervisor, Board, committee, and other internal or external meetings
- Compiles information from concerned parties for management and Board reports, including updates related to operations, studies, staffing, equipment, licensing, budget, and other Center activities, as requested
- Assists in tracking the timeline and budget of bioequivalence studies and other assigned projects, and follows up with concerned parties on pending requirements, deliverables, and supporting documentation
- Assists in preparing, consolidating, and following up on budget-related information, expense tracking, procurement requirements, and financial reports, as requested by the supervisor and in coordination with the concerned departments
- Coordinates assigned projects and activities by maintaining project files, monitoring timelines, following up on tasks, and reporting on progress as requested
- Maintains and organizes confidential files, records, Board and committee documents, agreements, memoranda of understanding, and work materials systematically
- Coordinates with internal departments, researchers, and external parties, as needed, to facilitate the implementation of the Center’s activities
- Acts as backup support for office staff as needed
- Performs other duties pertinent to this job as assigned by the direct supervisor
Minimum Required Qualifications
- * Bachelor’s degree in a related field, such as business administration, science, or healthcare
- Minimum 2 years of experience in administrative support, preferably in a health-related or academic setting. For optimal fit and motivation within the role, ideal candidates will typically possess between 2-7 years of experience within this context
- Strong interpersonal and communication skills in English and Arabic
- Excellent writing skills (professional documents, emails and reports)
- Organized, detail-oriented, and able to manage multiple tasks simultaneously
- Proficiency in MS Office Suite and other applications
- Ability to work effectively under pressure with commitment to deadlines
- Ability to coordinate assigned projects and activities, monitor timelines, and follow up on deliverables
- Ability to handle confidential information with discretion and professionalism
Work Schedule
The standard work schedule for this position is Monday through Friday. Due to the nature of operations and ongoing studies, flexibility is required, including occasional work outside regular hours, on weekends, or on holidays, as necessary to support study activities and maintain business operations.
