Role OverviewThe Talent Acquisition Specialist is responsible for managing the recruitment process from sourcing candidates through onboarding while also providing high-level administrative and executive support.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment. This person should be confident in communicating with candidates, executives, hiring managers, and external stakeholders.
Key ResponsibilitiesTalent Acquisition & Administrative Support
- * Manage the full recruitment lifecycle from job posting through onboarding.
- Create and post job descriptions across LinkedIn and other recruitment platforms.
- Source and identify qualified candidates through LinkedIn, job boards, and other channels.
- Review applications, resumes, and candidate profiles against role requirements.
- Conduct initial candidate screening and interviews.
- Coordinate interviews between candidates, recruiters, executives, and hiring managers.
- Maintain accurate candidate trackers and recruitment pipelines.
- Communicate with candidates throughout the recruitment process.
- Prepare and send interview invitations, follow-ups, and candidate status updates.
- Coordinate offer letters and assist with the onboarding process.
- Maintain organized recruitment records and ensure candidate information is up to date.
- Track recruitment metrics, applicant volume, interview stages, and hiring progress.
- Work closely with executives and hiring managers to understand hiring needs and priorities.
- Proactively identify and recommend strong candidates for open positions.
- Manage executive calendars, meetings, and scheduling.
- Coordinate internal and external meetings and ensure all relevant participants have the necessary information.
- Manage executive inboxes by prioritizing communications, identifying action items, and organizing emails.
- Coordinate domestic and international travel, including flights, hotels, transportation, and itineraries.
- Prepare meeting agendas, notes, and follow-ups when required.
- Track tasks, deadlines, and important commitments.
- Handle confidential and sensitive information with discretion.
- Coordinate communication between executives, employees, candidates, clients, and external partners.
- Support special projects and other administrative initiatives as needed.
Required Qualifications 2+ years of experience in Talent Acquisition, Recruitment, HR or a related field*.
* Experience managing candidates through multiple stages of the recruitment process.
* Strong sourcing and candidate-screening skills.
* Excellent written and verbal communication skills.
* Strong organizational and time-management abilities.
* High attention to detail and accuracy.
* Experience managing calendars, inboxes, meetings, or executive schedules.
* Ability to manage multiple open positions and priorities simultaneously.
* Comfortable working independently in a remote environment.
* Strong proficiency with Google Workspace, LinkedIn, and scheduling platforms.
* Experience with applicant tracking systems, CRMs, or recruitment trackers is a plus.

- Experience recruiting for multiple industries or business functions.
- Experience with LinkedIn Recruiter or LinkedIn hiring tools.
- Experience recruiting remote or international candidates.
- Experience with executive-level calendar, inbox, and travel management.
- Familiarity with tools such as Google Workspace, Slack, Zoom, Excel/Google Sheets, ATS platforms, and CRM systems.
