We are looking for an Operations Coordinator to manage U.S.-based commercial maintenance and repair projects from initial request through successful completion. The role involves sourcing and coordinating technicians across the United States, negotiating rates, scheduling site visits, researching technical repair requirements, preparing quotes, sourcing parts, and continuously following up on multiple active work orders. This is a fast-paced, highly operational position requiring excellent English, strong communication, organization, negotiation, problem-solving, and the ability to remain effective under pressure.
Responsibilities
Manage maintenance and repair work orders from initial request through completion, documentation, technician payment, and closure.
Source qualified technicians and service providers across the United States for electrical, plumbing, HVAC, landscaping, general maintenance, and other trades.
Contact multiple technicians to confirm availability, negotiate competitive rates, and secure primary and backup service providers.
Provide technicians with complete work order details, site requirements, timelines, instructions, and client expectations before dispatch.
Coordinate technician schedules, site visits, assessments, repairs, follow-ups, and completion requirements throughout each job.
Manage multiple active work orders simultaneously while continuously prioritizing urgent, time-sensitive, and high-impact requests.
Research unfamiliar technical issues, repair methods, materials, parts, and project requirements to determine suitable solutions.
Prepare accurate technical quotes, scopes of work, repair plans, pricing proposals, and supporting information for client approval.
Coordinate technical assessments with service providers and gather the information, photos, measurements, and recommendations required for quotations.
Source and coordinate the procurement of required materials, components, equipment, and parts for maintenance projects.
Monitor job progress, deadlines, costs, profitability, technician performance, and potential risks until each issue is fully resolved.
Maintain continuous communication with technicians, clients, suppliers, account managers, and internal support teams throughout active jobs.
Collect and verify before-and-after photos, signatures, invoices, approvals, technician paperwork, and other required completion documentation.
Identify delays, no-shows, technical complications, unavailable technicians, or other operational issues and implement practical solutions quickly.
Maintain accurate work order records, notes, status updates, quotations, costs, approvals, payments, and documentation in company systems.
Ensure jobs are completed quickly, accurately, professionally, and according to client requirements and operational standards.
Qualifications
Fluent English communication skills, both written and spoken, are required.
Excellent verbal communication skills with confidence speaking extensively with U.S.-based technicians, vendors, and clients.
Strong negotiation skills with the ability to secure competitive pricing and coordinate service expectations effectively.
Excellent organizational and time-management skills with the ability to handle approximately multiple active work orders per day.
Strong multitasking ability with the discipline to continuously follow up on several jobs without losing important details.
Strong problem-solving and logical-thinking skills with the ability to remain calm and resourceful during urgent or difficult situations.
Analytical and detail-oriented approach with the ability to research unfamiliar technical topics and learn quickly.
Strong sense of ownership, accountability, reliability, and commitment to completing assigned responsibilities.
Patient, resilient, adaptable, and comfortable working in a high-pressure, high-volume environment with a steep learning curve.
Previous experience in operations, coordination, dispatching, customer service, sales, hospitality, Food & Beverage, facilities, or similar fast-paced roles is preferred.
Must be fully available for a full-time role and not planning to maintain another job simultaneously.
Must be available to work onsite in Jdeideh, Beirut.
Must be available for U.S.-aligned night shifts, normally Monday to Friday from approximately 4:00 PM to 1:00 AM.
