Job Description: Junior Shipping Operations Coordinator

Position Summary
We are looking for a detail-oriented and proactive Junior Shipping Operations Coordinator to support the day-to-day movement of shipments by air and sea. The ideal candidate will act as a key point of coordination between clients, clearing agents, and internal teams — ensuring shipments move smoothly from booking to final delivery, while keeping accurate records and providing timely updates to all stakeholders.
Key Responsibilities
Client Communication & Reporting

Serve as the first point of contact for client inquiries regarding shipment status, documentation, and delays.

Follow up with clients on open requests, pending documents, and outstanding feedback.

Prepare and send regular status reports and shipment updates to clients.

Address client concerns promptly and escalate issues to the Operations Manager when needed.
Clearing Agent Coordination (Air & Sea)

Liaise daily with clearing agents to track the progress of import/export clearance.

Follow up on customs documentation, duties, permits, and any clearance holds.

Ensure clearing agents have all required shipping documents (invoices, packing lists, BOLs/AWBs, certificates of origin, etc.) on time.

Coordinate between agents and carriers to resolve delays or discrepancies.
Delivery Follow-Up

Track shipments from port/airport clearance through to final delivery.

Coordinate with transporters/couriers to confirm delivery schedules.

Proactively flag potential delays and communicate revised timelines to clients and internal teams.

Confirm successful delivery and close out shipment files accordingly.
Documentation & Data Management

Maintain and regularly update the shipment tracking/summary sheet with accurate, real-time status (booking, in-transit, customs, delivered, etc.).

Organize and archive shipping documents (invoices, packing lists, bills of lading, airway bills, customs declarations).

Ensure data consistency across internal systems and shared trackers.
General Operations Support

Support the operations team with day-to-day administrative tasks related to shipments.

Assist in identifying recurring issues (delays, documentation errors) and suggest process improvements.

Coordinate with internal departments (sales, finance, warehouse) as needed to resolve shipment-related issues.
Requirements

Bachelor's degree in Logistics, Supply Chain, Business Administration, or a related field (or equivalent experience).

0–2 years of experience in shipping, logistics, or freight forwarding (internships/training considered).

Basic understanding of import/export processes, air and sea freight, and customs clearance procedures is a plus.

Strong organizational skills with high attention to detail.

Proficiency in Microsoft Excel/Google Sheets (comfortable maintaining and updating trackers).

Excellent written and verbal communication skills; fluency in English (additional languages a plus).

Ability to multitask, prioritize, and work under deadlines in a fast-paced environment.
