About The JobEvent Management & Execution
- Coordinate the end-to-end execution of travel, accommodation, transportation arrangements for scientific events, conferences, sponsorships, meetings, and other brand engagement activities
- Lead negotiations with agencies and suppliers to secure the best value for money, ensuring cost efficiency and optimal utilization of the allocated budget
- Scout, evaluate, and recommend venues based on business and budget considerations
- Serve as the primary point of contact for external partners on all travel, accommodation, visa, and logistical requests, ensuring a high level of service, quality support, and timely, effective solutions
- Ensure right level of coordination and alignment with the medical team on all details and updates related to medical events, including sharing all required documentation
- Collaborate with internal stakeholders and external partners (HCPs) to ensure excellence in execution and adherence to timelines
- Maintain records and post-event documentation, including expenditure (A&P) tracking and event reporting
- Conduct post-event evaluation to gather insights and recommendations for future improvements
Procurement, Documentation & Payment Management
- Create and process POs in accordance with company policies and approval workflows
- Coordinate GR processes and ensure all supporting documents are properly maintained
- Collect, validate, and reconcile invoices to ensure accuracy and budget alignment
- Submit invoices & supporting documents promptly to facilitate correct & timely payments
- Track payment status and proactively follow up with relevant stakeholders to avoid delays
Reporting & Compliance
- Maintain comprehensive records of activation activities, contracts, quotations, POs, invoices, and payment documentation
- Prepare and maintain activity budget tracking reports, providing visibility on expenditures incurred, payments completed, outstanding commitments, and PO requirements
- Support the management team with internal audit requirements by providing the required documentation when requested
- Ensure procurement, payment, & documentation activities comply with IC & audit requirements
RequirementsAbout you
- Bachelor degree in Business Administration
- Minimum of 1 year of experience in an administrative role

- Good problem solver, with a proactive approach
- Strong numerical and analytical skills, with the ability to prepare, monitor, and report on spending and budgets
