Purpose:
The assistant serves as the central coordination point between the AUC community and the Buildings and Grounds Department. The role provides professional administrative and operational support by effectively managing all activities within the Computerized Maintenance Management System (CMMS). This includes ensuring that work requests across New Cairo, Downtown, and off-campus locations are accurately recorded, tracked, and processed in a timely and efficient manner.
Responsibilities:
- CMMS Data Management: Record, update, and close work orders in the CMMS, ensuring they are correctly categorized, e.g., corrective, preventive, predictive, or service requests
- Processing and Accuracy: Capture all incoming work requests, including trouble calls and alteration projects, verifying the completeness and nature of the work before dispatching
- Customer Communications: Respond to phone calls and electronic requests from over 10,000 customers annually, providing instructions and status updates regarding service delivery
- Operational Support: Assist with tasks related to both soft and hard services to support the University’s mission
- Service Quality Assurance: Act as a professional representative of the operations center, maintaining high customer service standards while dealing with a variety of personality types
- Flexible Coverage: Maintain the ability to work varied shifts, including days, evenings, nights, or weekends, to ensure continuous support for the AUC community
- General Administration Support: Perform other administrative duties as assigned
Requirements:
Minimum Education Requirements:
- University Degree in a relevant field
Experience:
- Minimum of five years of experience in a related field
Skills:
- Language Skills: Fluent in Arabic, and good command of English
- Technical Skills: Good knowledge of computers, e.g., word processors, spreadsheets, and databases, and high proficiency with the Internet
- Interpersonal: Excellent customer service orientation, high level of patience, and the ability to interact effectively with diverse individuals
