Role Overview
We are seeking a Coordinator – Site to provide effective administrative and operational coordination at the site level. The role will support the smooth day-to-day functioning of site operations by coordinating with employees, supervisors, management, clients, vendors, and internal departments.
The successful candidate will be responsible for maintaining accurate documentation, coordinating site requirements, supporting workforce administration, monitoring service-related activities, and ensuring timely communication between the site and relevant stakeholders.
Key Responsibilities
- Coordinate day-to-day administrative and operational activities at the assigned site.
- Act as a key point of coordination between site teams, management, clients, and internal departments.
- Maintain and update site-related records, reports, attendance, staff documentation, and operational trackers.
- Support workforce mobilization, onboarding, deployment, attendance, leave, and other employee-related coordination activities.
- Coordinate site requirements related to manpower, materials, equipment, uniforms, PPE, and other operational resources.
- Prepare regular reports, schedules, trackers, and documentation as required by site management.
- Monitor attendance, absenteeism, overtime, leave, and manpower deployment and escalate discrepancies where required.
- Coordinate with HR, Recruitment, Finance, Procurement, and other support functions to ensure timely resolution of site requirements.
- Assist in coordinating vendor and subcontractor activities and maintain relevant documentation.
- Support the implementation of company policies, procedures, HSE requirements, and client standards at the site.
- Maintain proper filing and documentation of contracts, work orders, inspection records, correspondence, and other site-related documents.
- Follow up on pending actions and ensure timely closure of operational and administrative requirements.
- Assist in preparing client reports, meeting minutes, presentations, and other operational documentation.
- Respond to site-related queries and ensure effective communication with relevant stakeholders.
- Perform any other duties and responsibilities assigned by the Site Manager or Operations Management.
What We’re Looking For
- Previous experience in a site coordination, facilities management, administration, operations, or similar role.
- Experience working in a facilities management, construction, hospitality, property management, or service-oriented environment will be an advantage.
- Good understanding of site administration and workforce coordination.
- Strong organizational and time-management skills.
- Good communication and interpersonal skills, with the ability to coordinate with employees, clients, vendors, and internal teams.
- Ability to manage multiple priorities and work effectively in a fast-paced site environment.
- Strong attention to detail and accuracy in documentation and reporting.
- Proficiency in MS Office, particularly Excel and Word.
- Ability to prepare reports, maintain trackers, and manage site documentation effectively.
- Strong problem-solving and follow-up skills.
- Ability to work independently as well as collaboratively with site and corporate teams.
Educational Qualifications
- Bachelor's degree or Diploma in Business Administration, Facilities Management, Operations, Human Resources, or a related field.
- Relevant professional certification in administration, facilities management, or operations will be an added advantage.
