About the Role
The Receptionist owns the front-of-house experience and ensures visitors, calls, messages, and daily movements are handled professionally. Through disciplined reception procedures, accurate communication, and coordinated driver support, this role keeps the Dubai office organized and responsive. The position serves as a dependable first point of contact for employees, visitors, vendors, and senior stakeholders. It also supports smooth transportation coordination by maintaining schedules, confirming requirements, and communicating changes promptly. The successful candidate will combine warmth with control, handling competing requests without losing attention to detail. This is an onsite role requiring consistent presence, discretion, and a service mindset. Its impact is measured through professional visitor experiences, timely information flow, reduced coordination gaps, and a workplace that operates smoothly from the front desk.
Key Responsibilities
- Own daily reception coverage by welcoming visitors, managing arrivals, and directing guests to the right contact, creating a professional and well-controlled office experience.
- Manage incoming calls, emails, messages, and correspondence through clear routing and timely follow-up, ensuring requests reach the correct stakeholder without avoidable delays.
- Coordinate company drivers, schedules, pick-ups, drop-offs, and changes through accurate planning and communication, reducing missed movements and improving day-to-day transportation reliability.
- Maintain visitor registers, meeting-room readiness, access requirements, and front-office records through consistent administrative controls, protecting workplace security and operational visibility.
- Liaise with employees, vendors, building management, and service providers to resolve front-office needs quickly, preventing minor issues from disrupting business operations.
- Handle sensitive information and executive interactions with discretion, using sound judgment and professional etiquette to protect confidentiality and organizational credibility.
- Track recurring reception and driver-coordination requirements, identifying gaps and improving simple processes that make front-office service more dependable.
Essential Skills & Technologies
- Strong verbal and written communication, professional telephone etiquette, and confident English are essential for managing visitors, employees, drivers, vendors, and senior stakeholders effectively.
