Samples Yard helps interior designers and fit-out teams source architectural and interior finishes for their projects. Our services cover material samples, sourcing, procurement, delivery, bespoke carpentry, and selected fit-out works.
Role OverviewWe are looking for a hands-on Project Delivery Lead to manage the day-to-day execution of our material supply, joinery, and fit-out projects.
You will translate approved scopes and business priorities into clear delivery plans, coordinate procurement and accounting requirements, monitor workshop production, and oversee site execution through to handover.
Working alongside our procurement, accounting, and carpentry team, you will own project follow-through: ensuring that responsibilities are clear, commitments are met, problems are addressed early, and management receives accurate updates without needing to chase progress.
This role requires regular workshop and site visits, practical technical judgment, strong communication, and the ability to move work forward independently.
Key Responsibilities1. Project Planning and Delivery
- Review approved scopes, drawings, specifications, budgets, and delivery commitments before execution.
- Prepare and maintain practical project schedules covering approvals, procurement, fabrication, delivery, installation, and handover.
- Assign and agree actions, owners, and deadlines with the relevant team members and subcontractors.
- Track progress across active projects, identify dependencies, and address potential delays before they affect delivery.
- Resolve routine execution issues within agreed authority and escalate matters requiring management approval with clear recommendations.
2. Workshop and Joinery Production
- Follow up daily with the carpenter, workshop, and external fabrication partners against agreed production milestones.
- Confirm that approved drawings, site measurements, material selections, finishes, and hardware requirements are available before fabrication.
- Monitor production progress, workmanship, material availability, and readiness for installation.
- Inspect work at key stages and before dispatch to identify defects, incomplete items, or deviations from approved requirements.
- Coordinate corrective work, transport, installation sequencing, and snag closure.
3. Procurement and Material Deliveries
- Coordinate with procurement to establish material requirements and required delivery dates for each project.
- Track critical orders, supplier commitments, and outstanding approvals.
- Confirm that materials are ordered in time to support fabrication and site schedules.
- Coordinate deliveries with suppliers, transport providers, and site teams, including access, unloading, storage, and site readiness.
- Verify delivered quantities and specifications, and ensure shortages, damage, and incorrect items are documented and resolved.
4. Site Execution and Subcontractor Coordination
- Visit project sites regularly to verify progress, workmanship, manpower, and compliance with approved drawings and specifications.
- Coordinate subcontractors and installation teams to ensure work is properly sequenced and interfaces between trades are addressed.
- Confirm site measurements and readiness before fabrication release, delivery, or installation, as applicable.
- Identify quality issues and unsafe practices, arrange corrective action, and escalate concerns promptly.
- Maintain snag lists and verify that outstanding items are completed before handover.
- Communicate operational updates with client and consultant representatives as assigned.
5. Project Cost and Financial Coordination
- Coordinate with accounting to identify upcoming supplier and subcontractor payment requirements against project schedules.
- Verify delivery records, completed work, and supporting documents for payment review.
- Track project commitments and flag potential cost overruns, rework, wastage, and additional works.
- Document variations and obtain the required approvals before committing to additional cost or scope.
- Notify accounting when invoicing milestones are reached and provide the necessary completion evidence.
- Support accurate project cost visibility while maintaining established purchasing and payment approval procedures.
6. Reporting and Documentation
- Maintain an up-to-date record of project schedules, actions, procurement status, production progress, deliveries, and outstanding issues.
- Provide concise daily updates covering completed work, upcoming activities, delays, corrective actions, and decisions required.
- Prepare a weekly overview of project milestones, risks, resource needs, and upcoming payment requirements.
- Record key instructions, approvals, changes, and commitments so that teams work from confirmed information.
- Follow actions through to verified completion.
Working Relationships and AuthorityThe Project Delivery Lead works alongside the procurement lead, accountant, and carpenter, with responsibility for coordinating delivery across their respective functions.
Within approved project scopes, budgets, and priorities, the role is authorized to coordinate execution schedules, agree deadlines, request progress information, inspect work, and require corrective action where work does not meet approved requirements.
Changes to scope, budget, specifications, contractual commitments, and payments remain subject to the company’s approval procedures.
Experience and Qualifications
- * Approximately 5–8 years of relevant experience in fit-out, joinery, or project execution, with demonstrated responsibility for delivering work from planning through installation and handover.
- Strong practical knowledge of bespoke carpentry and joinery, including boards, veneers, laminates, finishes, hardware, fabrication processes, and installation.
- Working knowledge of architectural finishes and related trades, including stone, glass, metal, painting, and flooring.
- Ability to read and interpret shop drawings, specifications, bills of quantities, and project schedules.
- Experience coordinating workshops, suppliers, subcontractors, procurement teams, and site activities.
- Strong written and spoken English, with the ability to prepare clear reports and communicate effectively with office and site teams.
- Competence in Excel or Google Sheets and task management tools; willingness to use the company’s project tracking systems.
- Relevant qualification in engineering, construction management, interior design, or a related discipline preferred. Substantial practical experience will also be considered.
- Qatar or GCC project experience preferred.
- Valid Qatar driving licence and ability to travel regularly between project sites and workshops.
