Job Summary
Protect the CEO's time and attention. Own the calendar, the inbox flow, the travel, and the follow-through on commitments so the CEO can focus on trading, people, and expansion.
Main Duties and Responsibilities:
- Manage a fast-changing calendar: board and shareholder meetings, supplier negotiations, store visits, weekly trading reviews. Resolve conflicts without being asked.
- Screen and triage email, calls, and WhatsApp traffic; draft replies in the CEO's voice; flag what genuinely needs him.
- Prepare meeting packs: agendas, prior minutes, KPI summaries from the commercial and ops teams. Circulate in advance.
- Capture actions in every meeting and chase owners until closed. Maintain a live commitments tracker.
- Arrange domestic and international travel — flights, visas, permits for movement between Federal Iraq and the Kurdistan Region, hotels, ground transport, supplier itineraries for trips to Dubai, Turkey, and Europe.
- Coordinate with store managers and regional heads on visit schedules and pre-visit briefs.
- Handle confidential material — acquisition documents, salary data, supplier terms, board papers — with absolute discretion.
- Manage expenses, petty cash, and reimbursement claims for the CEO's office.
- Host visitors: suppliers, franchise partners, government officials, auditors.
- Handle personal matters (appointments, family logistics) as required.
Qualifications:
- 3+ years supporting a senior executive, ideally in retail, FMCG, or a multi-site business.
- Fluent Arabic and English, written and spoken; Kurdish is a strong advantage.
- Excellent Excel, PowerPoint, Outlook/Google Workspace; comfortable with ERP dashboards.
- Valid passport and willingness to travel at short notice.
- Bachelor's degree.
