Job Overview
We are looking for a proactive, service-minded and hands-on Office Manager to take responsibility for the day-to-day operations of our Stockholm office. As Office Manager, you will play an important role in creating a professional, welcoming and well-functioning workplace for our colleagues and visitors. You will have a broad area of responsibility, ranging from office administration, facilities and supplier management to meeting and event coordination, purchasing and practical office support.
This is a role for someone who enjoys taking ownership, solving problems and making things happen. You are comfortable managing both planned activities and unexpected requests and take pride in ensuring that the office runs smoothly and maintains a high standard.
Key Responsibilities
- Take overall responsibility for the daily operations and readiness of the Stockholm office, ensuring a professional, welcoming and well-functioning workplace.
- Manage office administration and logistics, including mail, deliveries, couriers, DHL imports and exports, invoice scanning and relevant documentation.
- Manage office supplies, inventory and procurement, ensuring that kitchens, meeting rooms and common areas are well maintained, fully stocked and welcoming.
- Coordinate office maintenance and repairs and manage relationships with the landlord, building management, suppliers and external service providers.
- Ensure that office equipment, appliances, printers, workstations, workplace access and relevant safety and security arrangements are functional and properly maintained.
- Support the planning and execution of internal and external meetings, dinners and events, including coordinating catering and other suppliers, preparing and setting up spaces, table settings and ensuring a welcoming and professional environment for guests and colleagues.
- Provide hands-on support during events and ensure that practical arrangements run smoothly before, during and after the event. As some dinners and events take place in the evening, occasional evening work will be required.
- Provide hands-on support to colleagues in office-related matters and proactively identify opportunities to improve workplace operations and the overall employee experience.

Qualifications
We believe you have:
- Previous experience from office management, workplace services, facilities, administration, hospitality or a similar service-oriented role.
- Strong organisational and coordination skills and the ability to manage several tasks and suppliers simultaneously.
- A proactive and hands-on approach with a strong sense of ownership and attention to detail.
- Excellent interpersonal and communication skills and a high level of service orientation.
- Good administrative and digital skills and the ability to quickly learn new systems.
- The ability to work independently while collaborating closely with colleagues across the organisation.
- Good command of both Swedish and English.
