Overview Of The Role:
- The Internal Affairs Coordinator plays a crucial role in ensuring compliance and efficiency in governmental, traffic, import/export, and health safety matters. This role involves managing vehicle-related affairs, handling customs documentation, and facilitating civil protection training. Successful candidates will coordinate between multiple departments and external entities to streamline processes, ensure adherence to regulations, and maintain up-to-date documentation.
What You Will Do:
Government & Traffic Department Affairs
- Manage car licensing for ALFA and IKEA vehicles through the Traffic Department, including renewals, documentation, and physical submissions.
- Oversee regular vehicle maintenance schedules quarterly and ensure follow-ups are completed.
- Coordinate annual insurance coverage for ALFA stores and all company vehicles.
- Handle all Traffic Department related tasks and ensure adherence to deadlines.
Import & Export and Customs Documentation
- Handle the issuance and renewal of import/export cards on a yearly basis.
- Prepare and process Form 4, Customs Transfer Forms, and other related logistics documents through FAB and CIB.
- Coordinate with banks and government entities to ensure timely processing of customs documents.
Health, Safety & Civil Protection
- Coordinate with relevant authorities and vendors to arrange civil protection training for ALFA and IKEA employees twice per year.
- Maintain proper compliance records and ensure readiness for any inspections or audits.
Banking & Documentation Handling
- Manage the sending and receiving of documents to/from banks as required by Shared Services.
- Collect signatures from authorized signatories located across AFETS and IKEA.
- Act as a messenger for document exchanges with external service providers when required.
Administrative & Logistics Support
- Purchase mobile phones based on HR requests and in alignment with company policy.
- Provide logistics support to teams on matters related to customs, banking, documentation, and operational coordination.
- Support various operational and administrative requests as needed.

What Qualifies You For The Role:
- Bachelor's degree in Business Administration or related field.
- 3-5 years of experience in administrative or operational roles, preferably within large organizations.
- Strong knowledge of government, traffic department, import/export, and customs processes.
- Proficiency in English and Arabic, with excellent communication and organizational skills.
