Position: Executive Secretary – VP Office

About the Role:
A leading global downstream aluminium company in Riyadh is looking for an organized, reliable, and highly presentable Executive Secretary to support the Vice President’s Office. You will manage executive schedules, coordinate high-level meetings, and keep day-to-day operations running seamlessly with full confidentiality.
Key Responsibilities:
- Calendar & Travel: Organize the VP’s daily schedule, plan business meetings, and arrange travel itineraries.
- Executive Communication: Screen calls, prioritize incoming emails, and manage official correspondence with clear, fluent English.
- Meetings & Presentations: Attend key discussions to record precise minutes, prepare clean PowerPoint presentations, and follow up on VP-signed action items.
- Confidentiality: Handle sensitive corporate documents, contracts, and internal notes with maximum discretion.
- Office & Financial Support: Assist with office invoicing, expense tracking, timekeeping, and ordering executive office supplies.
- Record Keeping: Maintain a structured, easily accessible digital and physical filing system.
Requirements
Requirements:
- Education: Bachelor’s degree in Business Administration, Literature, or a related field.
- Experience: Minimum 3+ years of direct experience working closely and directly with C-Level Executives, Directors, or Vice Presidents in previous organizations.
- Communication & Tact: Exceptional interpersonal skills, professional etiquette, and highly refined communication skills (tactful, courteous, and professional approach).
- Language: Good to fluent command of English (written and verbal).
- Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook), highly organized, trustworthy, and detail-oriented.
