Activities
- * Manage and optimize the Managing Director s calendar, scheduling priorities, appointments and daily activities.
- Coordinate internal and external meetings, including logistics, agendas, briefing materials, presentations, and follow-up actions.
- Act as the primary point of contact for communications directed to the Managing Director, screening and prioritizing emails, correspondence, calls and requests.
- Prepare, draft, proofread, translate, and format a wide range of business documents, including reports, presentations, letters, and memos.
- Arrange domestic and international travel, including flights, accommodation, transportation, visas, itineraries, and related documentation.
- Handle confidential and sensitive information with the highest level of discretion, integrity, and professionalism.
- Support administrative processes, including expense claims, invoices, purchase orders, and other corporate documentation for the MD and other departments.
- Maintain accurate and well-organized electronic and physical filing systems to ensure efficient document management and retrieval.
- Facilitate communication and coordination across departments, ensuring timely follow-up on deliverables and action items.
- Monitor incoming requests, assess priorities, manage deadlines, and ensure appropriate responses and resolutions.
- Attend meetings as required, prepare accurate minutes, document key decisions, and track the completion of agreed actions.
- Build and maintain effective relationships with employees, clients, suppliers, government authorities, business partners, and other stakeholders.
- Prepare executive reports, dashboards, status updates, and management summaries to support decision-making.
- Anticipate executive needs and proactively address scheduling, communication, logistical, and administrative requirements.
- Conduct research, gather information, and prepare briefing notes to support executive decisions and business priorities.
- Coordinate official events, conferences and executive engagements.
- Undertake special projects and perform additional duties as assigned by senior management
Qualifications/Experience Required
- * Bachelor's degree in Business Administration, Management, or a related field preferred.
- Minimum of 6 years of experience in an Executive Assistant or similar administrative support role.
- Relevant years of experience in the Energy Sector Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Excellent verbal and written communication skills in English and Arabic; French is an advantage.
- Ability to multitask, prioritise competing demands, and work effectively under pressure.
- High level of professionalism, discretion, confidentiality, and emotional intelligence.
- Strong attention to detail, accuracy, and problem-solving skills.
- Ability to prepare professional reports, presentations, correspondence, and meeting documentation.
- Ability to work independently, take initiative and meet deadlines.
- Strong interpersonal skills and the ability to communicate effectively at all levels.
