The Events Coordinator supports the planning and delivery of DTV's events and activations, from conferences and exhibitions to workshops, founder programs, and partner gatherings. One day you're comparing vendor quotations and building a run of show, the next you're on site managing setup, guests, and whatever comes up on the day. You'll work closely with the Senior Events Coordinator and the wider team, as well as vendors, venues, partners, and internal stakeholders across DTV's programs and entities.
This is an individual contributor role. You'll be trusted to own the logistics of specific events and to keep several projects moving at once.
Responsibilities
- Plan and coordinate events from initial brief through event day and post event wrap up
- Build event timelines, checklists, schedules, and operational plans
- Source and manage vendors, suppliers, venues, and contractors, including requesting and comparing quotations and supporting procurement
- Follow up on production requirements: branding, printing, AV, furniture, catering, and giveaways
- Conduct site visits and coordinate venue requirements, setup, and logistics
- Manage registration, guest lists, and on site operations
- Coordinate VIP and guest arrangements, including invitations, seating, access, parking, and hospitality
- Ensure all event branding and materials follow DTV brand guidelines
- Track event budgets, quotations, invoices, and supporting documentation
- Attend events, oversee execution on the ground, and solve problems as they come up
- Prepare post event reports covering attendance, feedback, and lessons learned
- Maintain an organized database of vendors, venues, and event resources
Qualifications
- 3 to 5 years of experience in event planning, coordination, or production, ideally across corporate, institutional, or conference events
- Proven experience managing vendors, quotations, and event budgets
- Strong organizational skills and meticulous attention to detail
- Comfortable running several events in parallel against fixed deadlines
- Calm and decisive on site, especially when plans change at short notice
- Experience handling VIP guests and protocol is a plus
- Arabic and English fluency preferred
- Willingness to work flexible hours around event schedules, including evenings and weekends when needed
