Position: Coordinator II, Graduate Admissions - Office of the dean of School of Graduate Studies
Reports to: Manager, Graduate Admissions
Purpose:
The coordinator will pursue high admission standards by ensuring a smooth and accurate record keeping and application processing system. The job holder will maintain an organized archive for all applicants’ files that allows for easy search and retrieval, thus ensuring smooth workflow during the admission evaluation process.
Responsibilities:
Admissions process:
- Conduct functions for the admission of degree seeking applicants and evaluate domestic and international degrees and other academic credentials
Records Management and Preservation:
- Evaluate and maintain student records in accordance with university retention and preservation policies
- Handle fragile or historical records with care, ensuring proper conservation and storage
Records documentation, Acquisition and Retrieval:
- Coordinate the data entry and documentation of student or applicant data, as well as acquisition and documentation of online letters of recommendation and online application forms
- Check that forms and credentials and letters are correctly documented accessible in Laserfiche
- Retrieve and secure storage of student files, ensuring accurate record organization and accessibility
Communication with applicants or students:
- Advise on admission requirements, policies, and procedures
- Follow up on the applicants to submit the requirements in time for the deadlines
Archival Systems and Procedures:
- Assist in developing and maintaining record-keeping systems for archival research, retention, and authorized destruction of records in compliance with institutional policies
Document Reproduction and Scanning:
- Perform photocopying, scanning, and digital filing of all application credentials and supporting documents required for the admissions cycle
Event and Operational Support:
- Assist in admissions events, office activities, and daily operations to ensure smooth workflow and service delivery
General Support:
- Perform other related duties as assigned
Requirements:
Minimum Education Requirements:
- Bachelor’s degree in business administration, education, or a related field
- Minimum of two years of experience in academic administration, preferably in admissions or student services
Skills:
- Team Collaboration: Ability to work cooperatively within a team
- Language Skills: Good spoken and Written English
- Interpersonal: Ability to interact effectively with students and faculty
- Technical Systems: Proficiency in Microsoft Office applications, e.g., Word and Excel
- Experience with Banner or similar student information systems preferred
- Adaptability: Willingness to work extended hours during admission cycles
- Skilled user of Banner
- Strong customer service
- Very good Organization skills
