Opportunity Overview
Our client is looking for a Retail Operations Coordinator to own the operational detail behind large retail accounts. The role covers processing retail orders, managing purchase orders, troubleshooting fulfilment and retailer issues, and maintaining clear documentation. It suits someone who has worked with large international retailers and enjoys keeping complex accounts running accurately and on time.
Role Description
The Retail Operations Coordinator will move orders from PO through to delivery accurately and on time, working across internal teams, retail partners and logistics providers. You will manage retailer POs, EDI systems and portals while resolving discrepancies and exceptions across systems. You will also own retailer manuals, routing guides and SOPs, and keep retail KPI dashboards current. The role suits someone with strong operational rigour and a coordinator's mindset.
Key Responsibilities
- Order Processing - Own day-to-day processing of retail and wholesale orders from PO entry through fulfilment and delivery.
- Retailer PO Management - Review retailer POs for quantities, pricing, SKUs, delivery windows and routing, resolving discrepancies proactively.
- EDI and Portals - Manage order flow, acknowledgements, shipping information and invoices through EDI systems and retailer portals.
- Exception Handling - Investigate and resolve issues across orders, inventory, shipping and system discrepancies with internal and external teams.
- Cross-Functional Coordination - Coordinate with Sales, Operations, Finance and warehouse or 3PL partners to keep accounts on track.
- Documentation Ownership - Maintain retailer manuals, routing guides, SOPs and account-specific documentation for the retail team.
- Inbox and Dashboards - Manage the retail inbox and maintain retail KPI dashboards to track performance and service levels.
Minimum Qualifications
- English Fluency - Fluent, excellent written and spoken English is mandatory for this role.
- Retail PO Experience - Experience processing retail or wholesale purchase orders end-to-end, from PO entry through fulfilment and delivery.
- EDI and Portals Familiarity - Familiarity with EDI systems and retailer portals covering acknowledgements, shipping documentation and invoicing.
- Attention to Detail - Strong attention to detail and organisational skills, comfortable resolving discrepancies across multiple systems and workflows.
- Cross-Functional Coordination - Experience coordinating with Sales, Operations, Finance and warehouse or 3PL partners in an operational role.
Bonus Qualifications
- International Retailer Experience - Experience with large international retailers and their compliance requirements, including routing guides and chargebacks.
- Retail Reporting - Data analysis or reporting experience for retail KPI or dashboard tracking using Excel, Sheets or BI tools.
- SOP Documentation - Experience writing and maintaining SOPs or operational documentation for retail or wholesale workflows.
