Serve as the first point of contact for the organization, ensuring professional, welcoming, and efficient front desk experience.
Responsible for managing the reception area, handling incoming communications, supporting administrative tasks and facilitating smooth visitor and employee experiences including coordination with building services such as parking and security
Responsibilities:
- Front Desk Management Greeting and welcoming visitors, clients, and employees professionally.
- Maintain a clean, organized, and presentable reception area.
- Manage visitor logs and issue visitor badges.
- Notify relevant employees of guest arrivals.
- Communication Handling Answer, screen, and direct incoming phone calls promptly and accurately. Take and relay messages.
- Receive and sort daily mail, packages, and courier deliveries. Respond to general inquiries via phone, email, or in person.
- Parking Coordination Act as the primary liaison between employees and the building's Parking.
- Coordinate temporary parking allocations with registered floaters and ensure compliance with parking regulations and report violations.
- Administrative Support Provide general administrative support to the Admin & HR team (e.g., data entry, filing, photocopying, meeting room bookings).
- Assist in coordinating meetings, appointments, and conference room schedules.
- Order and maintain office supplies for the reception and pantry areas.
- Security & Access Monitor access to the office premises. Ensure all visitors sign in/out. Report any suspicious activity or security concerns to the building security and internal management. Issue and manage temporary access cards.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field
- Excellent verbal and written communication skills.
- Strong interpersonal skills with a customer-service orientation.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to multitask and prioritize in a fast-paced environment.
- High level of discretion and professionalism when handling confidential information.
- Organizational skills and attention to detail.
- English: Fluent (spoken and written)
- 1–3 years of experience in a receptionist, front desk, or administrative role, preferably in a corporate environment.
