We are looking for an organized, proactive, and dependable Personal Assistant to provide day-to-day
administrative and coordination support to the Chief Operating Officer (COO).
This role is ideal for someone who is highly organized, communicates professionally, follows through on tasks, and can manage multiple priorities with discretion and minimal supervision.
Key Responsibilities:
• Manage the COO’s calendar, appointments, meetings, and reminders.
• Coordinate internal and external meetings and ensure all necessary information is prepared in
advance.
• Maintain and track the COO’s priorities, action items, deadlines, and follow-ups.
• Follow up with departments and team members on reports, documents, and actions requested by
the COO.
• Prepare and organize emails, letters, reports, presentations, meeting notes, and other documents.
• Assist with meeting agendas, minutes, action points, and follow-up.
• Organize executive files and documents, including proper digital filing.
• Coordinate travel arrangements, reservations, itineraries, and related requirements when needed.
• Communicate professionally with employees, clients, suppliers, partners, and external contacts.
• Handle confidential and sensitive information with a high level of discretion.
• Provide general administrative and coordination support to the COO as required.
What We’re Looking For
• Minimum 2–3 years of experience as a Personal Assistant, Administrative Assistant, Secretary,
Office Coordinator, or similar role.
• Diploma or bachelor’s degree in business administration, Office Administration, or a related
field is preferred.
• Business-Level English: speaking and writing.
• Exzellent knowledge of Microsoft Outlook, Word, Excel, and PowerPoint.
• A basic understanding of and experience with the use of AI, to facilitate the effective use of this tool.
• Strong organizational and time-management skills.
• Excellent attention to detail and follow-up.
• Professional, discreet, and trustworthy.
• Proactive and resourceful with a problem-solving mindset.
• Able to work independently and manage changing priorities.
• Comfortable coordinating with employees at different levels of an organization.
