Job Summary
We are looking for a Marketing Administrative Executive to provide administrative, operational, and coordination support to the Marketing team. The role will be responsible for managing procurement-related activities, vendor coordination, documentation, invoices, contracts, and marketing operations while ensuring smooth coordination between the Marketing, Procurement, Finance, and external vendors.
Key Responsibilities:
- Manage purchase orders (POs), invoices, contracts, and related documentation in accordance with internal procurement and finance procedures.
- Maintain and regularly update marketing trackers and documentation, including invoices, expense trackers, exceptional approvals, and other operational records.
- Coordinate with the Procurement team and vendors regarding quotations, samples, delivery timelines, distribution, and inventory.
- Support vendor onboarding, contract renewals, and RFP processes where applicable.
- Coordinate with offshore teams to ensure marketing documents and assets are regularly updated and properly maintained on the shared drive.
- Provide administrative and logistical support for marketing events, campaigns, and initiatives.
- Follow up with internal stakeholders and external vendors to ensure timely completion of assigned tasks.
- Ensure marketing administrative processes and documentation are accurate, organized, and up to date.
Qualifications:
- 3–5 years of experience in an administrative, coordination, or operations role.
- Previous experience in Marketing Administration, Marketing Operations, or Marketing Coordination is preferred.
- Good understanding of procurement and finance processes, including POs, invoicing, contracts, and vendor management.
- Strong proficiency in Microsoft Office, particularly Excel, PowerPoint, and Word.
- Strong organizational and documentation skills with excellent attention to detail.
- Good communication and coordination skills with the ability to work effectively with internal teams, vendors, and offshore stakeholders.
- Ability to manage multiple tasks, follow up on deadlines, and work in a fast-paced environment.
- Strong problem-solving and administrative skills.
