Position SummaryThe Head of Fixed Assets and Inventory manages the entire Fixed Assets and Inventory section within Finance Department. The role establishes proper control and monitoring of all assets and oversees the financial aspects of inventory, ensuring accurate records, timely period-end closing, and compliance with applicable accounting standards and financial policies.
Qualifications
- * CA / CPA / CFA / MBA (Finance).
Experience & Knowledge Requirements
- * 15 or more years of overall experience in accounting, which includes:
- 5+ years of supervisory experience in Fixed Assets and Inventory.
- 5+ years of accounting experience in the hospital / healthcare sector.
- 5+ years of accounting experience in the GCC.
- Proven experience managing high-volume Fixed Assets and Inventory in an ERP system.
- Experience working in an IFRS environment.
Skills Requirements
- * Has worked in a recognized ERP system such as Oracle or SAP.
- Solid working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong interpersonal skills and good communication skills in English.
- High level of analytical and problem-solving skills.
- Adequate presentation skills for educating clients on procedures to be followed.
- Good planning and organizational skills to balance and prioritize work.
Major ResponsibilitiesStrategy Formulation & Financial Control
- * Contribute to the formulation of strategy, annual business plans, policies, and procedures of the department, supporting divisional and organizational business strategy.
- Assist the Director of Finance in meeting set targets and objectives, as well as the financial performance of the Fixed Assets and Inventory section.
- Ensure the fixed assets book of account is kept up to date and that accounting transactions are properly checked and reviewed to ensure accuracy of records.
- Manage the financial activities of the capital assets and inventory section, monitor capital expenditures, and apply appropriate accounting treatment in the reporting system per applicable accounting standards and financial policies and procedures.
Asset Acquisition
- * Ensure preparation of the monthly capital asset continuity schedule reflecting changes in each class of asset, as part of the monthly reporting process for management review.
Asset Tagging, Verification, Transfer, Revaluation, and Retirement
- * Monitor the tagging and verification of fixed assets; assign a physical asset verification team and plan the physical verification.
- Review and reconcile the verification of assets with accounted assets; compare reports and coordinate with the Senior Accountant to resolve any errors.
- Ensure the approved list of assets is updated in the system.
- Review assets approved by the Disposal Committee for retirement from the Fixed Asset Register.
- Oversee maintenance of records of all fixed asset acquisitions, adjustments, changes, transfers, and retirements.
- Supervise recording of asset disposals, transfers, and retirements in the system per accounting standards and financial policies and procedures.
- Participate in the physical inventory count with the Support Services Team to ensure financial records agree with the physical count of assets.
- Ensure all fixed assets in the books are accurately accounted for with all relevant details and are physically present in their locations; adopt innovative methods to improve data accuracy.
Fixed Assets Period End
- * Review the depreciation report and coordinate with the Accountant / Senior Accountant – Fixed Assets on required changes; approve the depreciation report.
- Review fixed assets month-end reports and approve the soft close for the period.
- Ensure the fixed assets period-end close, including account analysis, is completed on time.
Inventory Reconciliation & Physical Count
- * Periodically reconcile financial accounting entries for all inventory organizations, for all items, between the financial accounts and the supply chain management system.
- Participate in the annual physical count and ensure all discrepancies are justified, approved, and properly accounted for.
- Arrange random physical counts during the year to ensure stocks are maintained accurately.
Insurance
- * Arrange all activities related to insurance of fixed assets and inventory, including preparation of policy documents, scope of work, and tender processing.
Staff Management
- * Ensure staffing is adequate to perform all section activities; organize staff duties and leave, and monitor performance.
Audit Coordination & Confidentiality
- * Facilitate audit requirements from internal and external auditors and coordinate with the team to provide all details.
- Undertake any related duties or responsibilities as directed.
- Maintain high standards of confidentiality to safeguard sensitive information.
