The Executive Assistant (EA) works between running the CEO's time and communications, and driving selected priorities. The role combines high-level executive support (diary, correspondence, meetings, travel, confidential matters) with hands-on execution of CEO-sponsored projects. It suits someone who can take a loosely defined objective, turn it into a clear plan and move it forward across teams without needing constant direction.
Responsibilities
- Manage the CEO's calendar, schedule meetings, and protect time for top priorities.
- Act as the first point of contact from screening, prioritising, and responding to emails, calls, and correspondence on the CEO's behalf.
- Prepare agendas, briefing packs, and minutes, and follow up on action points after meetings.
- Arrange domestic and international travel, including flights, accommodation, transfers and visas.
- Plan and coordinate executive-level events, conferences and business engagements.
- Serve as the main link between the CEO and internal teams, clients, investors and external partners.
- Keep information flowing between the CEO's office and all departments so work moves smoothly.
- Build strong, trusted relationships across the business and with key external contacts.
- Draft, review, and proofread documents, contracts, and presentations to a high standard.
- Work directly with the CEO on selected strategic and operational priorities.
- Coordinate projects that span several teams or don't sit neatly within one department.
- Track progress on strategic initiatives, spot obstacles early, resolve issues, and escalate decisions when needed.
- Act as a trusted execution partner: understand the intended outcome, fill the gaps, and drive the work forward.
- Support the launch of new initiatives, partnerships, and market expansion work.
- Conduct rapid research and analysis to support important decisions.
- Prepare concise executive summaries, recommendations, business cases, and presentations for senior leadership.
- Help the CEO prepare for Board meetings, investor updates, and strategic reviews.
- Build simple reporting frameworks, trackers, and dashboards that keep the CEO and Key stakeholders informed.
- Handle sensitive company and personal information with complete discretion.
- Maintain trust, integrity, and professionalism across business and personal matters.
- Handle ad-hoc personal tasks for the CEO as needed, with the same discretion and care as business matters.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field (preferred but not essential).
- 5+ years’ experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives.
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g. Asana, Teams, Zoom, Slack).
- Exceptional organisational and time-management abilities, with the capacity to manage multiple priorities.
- A high degree of discretion and professionalism when handling confidential matters.
- Experience working in a fast-paced, agile environment, with no established playbook.
- Previous experience in a European country is a plus.
- Start-up experience is a plus.
