Primary Function:
Employee Relations Specialist is responsible for overseeing employee relations processes, ensuring compliance with labour laws, and maintaining accurate HR records while supporting payroll and administrative HR functions. The role fosters a positive work environment by ensuring consistent application of HR policies, supporting conflict resolution, managing employee documentation, medical insurance and coordinating with employees, managers, and external authorities.
Duties and Responsibilities:Duties and responsibilities noted below are considered to be the essential functions of the job.
· Draft and issue official HR letters such as employment, salary, and experience certificates.
· Prepare authorization letters upon department head requests, defining scope and duration; ensure signed authorization letters.
· Upload and update employee records in the HR system, including personal data, position, work location, and shifts.
· Monitor attendance reports and adjust shifts or work locations as required.
· Add new employees to the medical insurance system, follow up the cycle renewal and share confirmation with staff.
· Remove resigned employees from insurance coverage and notify the insurance provider.
· Liaise with the insurance provider to follow up on claims, approvals, and policy updates.
· Review and calculate monthly payroll using attendance data, allowances, deductions, and loans; prepare final payroll sheet and salary transfer request.
· Verify commission eligibility and calculations based on sales reports and commission policy; prepare commission report for payment.
· Prepare and submit Form 2 for employee hiring and resignation to authorities; obtain acknowledgment of submission.
· Calculate End of Service (EOS) benefits accurately in compliance with labor law; prepare EOS settlement sheets.
· Draft and issue job offers in line with recruitment requests and company policy; secure signed job offers.
· Collect and coordinate all GM-related approvals for hiring, resignation, and authorizations; deliver approved forms and letters.
Other Duties:The incumbent may be asked to perform additional job-related duties and take on other responsibilities as dictated by events and circumstances and working conditions.
Qualifications, Education and /or Experience Requirements:· Bachelor’s degree in Human Resources, Accounting, or Business Administration or equivalent.
· 2–5 years of HR experience with specialization in payroll, benefits, and compliance.
· Strong knowledge of payroll systems, attendance management, and labor law requirements.
· Experience in handling commissions, allowances, deductions, and employee benefits.
· Familiarity with government forms and reporting requirements (e.g., Form 2).
· Strong communication skills to coordinate with employees, managers, and external authorities.
· Proficiency in MS Office and HR/payroll software applications.
