Job Purpose:
Dar Al-Hanadasah is looking for a highly organized Document Controller to join our design studio team in Cairo. The ideal candidate should have proven document control experience on design and construction supervision projects and capable of managing high volumes of project documentation accurately and independently.
Responsibilities:
Set up and manage the project document control system, consisting of:
- Document numbering, revision and status coding in line with project procedures
- Master document and drawing registers
- Transmittals to clients, contractors, subconsultants and authorities
- Incoming and outgoing correspondence logs
- RFI, technical query, site instruction, NCR and inspection request logs
- Contractor submittal logs (shop drawings, material submittals and method statements), including routing for review and tracking of approval status codes
- Electronic document management system (Aconex, ProjectWise, ACC/BIM 360, SharePoint or similar), including user access and workflows
- Automated workflows and alerts (Power Automate, EDMS workflows) for transmittal notifications, review routing and overdue response reminders
- Live document status dashboards (Power BI, Excel Power Query or EDMS reporting) for submittal, RFI and drawing status
- AI-assisted indexing, including OCR of scanned documents and automatic extraction of drawing title block data and metadata
- Weekly and monthly document status reports
- Project archives and closeout handover records (as-built drawings, O&M manuals)
Responsibilities include also checking documents for compliance with templates, title blocks and revisions before issue, withdrawing superseded documents, following up on overdue reviews and responses, tracking authority submissions, supporting ISO 9001 quality audits, and training project staff on document control procedures and digital tools. The role also involves using AI assistants (such as Microsoft 365 Copilot or similar) to summarize correspondence, draft transmittals and meeting minutes, and search project records, while verifying all AI-generated output and protecting confidential project information.
Requirements:
- 3 to 5 years of experience in document control, with at least 2 years in an engineering consultancy or construction environment
- Diploma or bachelor’s degree in engineering, Business Administration, Information Management or a related field
- Proficiency in electronic document management systems (Aconex, ProjectWise, ACC/BIM 360, SharePoint or similar).
- Proficiency in Microsoft Office Suite, particularly Excel, and PDF tools (Adobe Acrobat, Bluebeam).
- Working knowledge of engineering drawings, submittal and RFI processes, and construction project documentation.
- Familiarity with ISO 9001 and ISO 19650 information management principles.
- Familiarity with automation and reporting tools (Power Automate, Power BI, SharePoint lists) and AI-assisted document features (OCR, automatic metadata and title block extraction, AI search).
- Experience using generative AI tools (Microsoft 365 Copilot, ChatGPT, Adobe Acrobat AI Assistant or similar) for drafting, summarizing and searching documents, with awareness of data confidentiality and client restrictions on AI use.
- Exposure to common data environment (CDE) and BIM workflows, including model-based deliverables and digital handover (COBie) is an advantage.
- Knowledge of FIDIC contract document requirements, preferably on projects in the GCC Region.
- Required Skills: high attention to detail, organizational skills, communication skills, ability to follow up firmly on deadlines, confidentiality, ability to work within teams, ability to manage multiple projects concurrently, willingness to adopt new digital and AI tools, fluent in English.
