Position Overview
The Automotive Service Advisor is responsible for providing professional customer service and acting as the primary link between customers and the automotive workshop. The role involves understanding vehicle concerns, advising customers on maintenance and repair requirements, preparing quotations, coordinating with technicians, and ensuring vehicles are serviced accurately and efficiently. The Service Advisor is responsible for maintaining clear communication throughout the service process while supporting customer satisfaction, workshop productivity, sales performance, and after-sales service standards.
Key Responsibilities
- * Welcome customers, understand their vehicle concerns, service requirements, driving habits, and maintenance needs.
- Conduct customer consultations and accurately record vehicle information, mileage, service history, reported issues, and requested work.
- Perform or support preliminary vehicle inspections and communicate relevant findings to customers in a clear and professional manner.
- Explain recommended maintenance, repairs, technical findings, replacement parts, estimated costs, and expected completion times.
- Prepare accurate quotations, repair orders, service estimates, invoices, and other required documentation.
- Obtain customer approval before proceeding with additional repairs or services outside the original scope of work.
- Coordinate closely with technicians, workshop supervisors, parts teams, warranty departments, and management to ensure work is completed correctly and on schedule.
- Monitor vehicle repair and maintenance progress and provide customers with timely updates regarding delays, additional findings, or changes to estimated costs.
- Coordinate with the Parts Department to ensure required parts are available and ordered in accordance with repair schedules.
- Recommend appropriate preventive maintenance, service packages, genuine parts, accessories, warranties, and additional services based on vehicle condition and customer needs.
- Maintain accurate customer and vehicle records using dealership management systems, workshop software, CRM platforms, or other relevant systems.
- Handle service appointments, vehicle drop-offs, repair authorisations, collection arrangements, and follow-up communications.
- Explain completed repairs, replaced components, maintenance recommendations, warranty coverage, and future service requirements during vehicle handover.
- Process or coordinate payments, deposits, invoices, refunds, warranty claims, and other service-related transactions where required.
- Handle customer complaints, service concerns, and disputes professionally and work with relevant departments to achieve appropriate resolutions.
- Maintain strong customer relationships through follow-up calls, messages, service reminders, and post-service communication.
- Support customer retention, repeat business, service bookings, upselling, cross-selling, and customer satisfaction targets.
- Monitor individual and workshop performance indicators such as service revenue, customer satisfaction, repair order value, retention, productivity, and additional service sales.
- Coordinate warranty claims, manufacturer service campaigns, recalls, insurance-related repairs, and other after-sales requirements where applicable.
- Ensure all service documentation, inspection reports, customer approvals, repair orders, and warranty records are complete and accurate.
- Maintain professional communication between customers and workshop personnel, particularly when technical issues or unexpected repairs arise.
- Ensure customer vehicles are handled carefully and that vehicle keys, documents, personal belongings, and other customer property are properly controlled.
- Follow company procedures relating to workshop safety, customer service, quality control, warranty policies, and manufacturer standards.
- Coordinate with Sales, Parts, Finance, Warranty, Customer Service, and Workshop teams to ensure a smooth end-to-end customer experience.
- Monitor automotive technology, vehicle systems, maintenance requirements, and manufacturer service recommendations to maintain up-to-date product knowledge.
- Support service campaigns, customer events, promotional activities, vehicle inspections, and dealership initiatives when required.
- Prepare service reports and communicate recurring customer concerns, workshop issues, operational delays, and improvement opportunities to management.
- Maintain confidentiality of customer information, vehicle records, financial information, and company data.
- Identify opportunities to improve workshop efficiency, customer communication, service quality, and overall customer satisfaction.
Requirements
- * Diploma or degree in Automotive Technology, Automotive Engineering, Mechanical Engineering, Business Administration, or a related field preferred.
- Previous experience as an Automotive Service Advisor, Service Consultant, Aftersales Advisor, Workshop Advisor, or in a similar automotive customer service role.
- Strong understanding of vehicle maintenance, mechanical systems, electrical systems, diagnostics, servicing procedures, and common automotive repair requirements.
- Ability to understand technical information and explain vehicle issues and repair recommendations clearly to customers without excessive technical terminology.
- Strong customer service, communication, interpersonal, negotiation, and relationship-management skills.
- Experience preparing quotations, repair estimates, job cards, work orders, invoices, and service documentation.
- Ability to coordinate multiple repair orders and monitor workshop progress while maintaining accuracy and customer communication.
- Experience using dealership management systems, workshop management software, CRM, POS, inventory, or service scheduling systems.
- Strong sales and commercial awareness with the ability to identify suitable maintenance, repair, accessory, and service opportunities.
- Good understanding of customer satisfaction, service quality, retention, and after-sales processes.
- Strong organisational and time-management skills with the ability to work effectively in a busy workshop or dealership environment.
- Good problem-solving skills and the ability to handle customer complaints and unexpected repair situations professionally.
- Proficiency in Microsoft Office, particularly Excel, for basic reporting and service-related administration.
- Ability to work effectively with technicians, workshop supervisors, parts teams, warranty departments, and other internal stakeholders.
- Professional appearance, positive attitude, attention to detail, and strong customer-service orientation.
- Ability to work under pressure and manage multiple customers, vehicles, and service requirements simultaneously.
- Willingness to work flexible hours, weekends, or public holidays according to workshop or dealership operating requirements.
- Automotive service, manufacturer, diagnostic, or technical certifications are an advantage.
