Role Overview
Frontier Academy is seeking a highly organized, customer-focused Academy Operations Officer to lead operational delivery and logistics for Frontier Academy. Reporting directly to executive leadership, you will take ownership of the end-to-end administration of our corporate training mandates (B2B) and upcoming public certification programs (B2C).
In this role, you will act as the operational backbone of Frontier Academy—managing trainer scheduling, venue/online platform logistics, participant communications, course material printing, and attendance certification. You will work closely with the Business Development Manager and Marketing team to ensure every training program runs seamlessly and delivers an exceptional experience to corporate clients and executive trainees.
Key Responsibilities
- Program Delivery & Logistics Management
Oversee venue booking, catering, room setup, and audio/visual equipment arrangements for in-person corporate workshops and executive seminars
Manage digital training infrastructure for virtual programs (Zoom, MS Teams, LMS platforms), including sending calendar invites, monitoring live sessions, and troubleshooting technical issues
Coordinate with internal instructors and guest trainers to manage schedules, secure presentation decks, and print/distribute physical or digital course workbooks
- Client Communications & Delegate Relations
Serve as the primary operational point of contact for corporate HR/L&D representatives and individual course participants
Issue pre-course preparation materials, track attendance rosters, manage feedback/evaluation surveys, and generate official certificates of completion
Address delegate inquiries, handle registration updates, and resolve operational issues promptly with a high standard of customer service
- Operational Administration & Vendor Coordination
Track course budgets, instructor fees, venue costs, and operational expenses in coordination with the Finance Lead
Maintain complete training records, delegate databases, and post-program evaluation reports to support continuous course quality improvement
Support the BD Manager during contract execution by managing delivery timelines and client onboarding checklists
What We're Looking For
Education: Bachelor's degree in Business Administration, Mass Communication, or a related field
Experience: 2–4 years of operational, administrative, or event management experience within a corporate training provider, university/academy, hospitality, or professional services firm
Organizational Skills: Exceptional project coordination and multitasking skills with high attention to detail
Tech-Savvy: Proficiency in Microsoft Office (Excel, Word, PowerPoint), digital communication platforms (Zoom, MS Teams), and familiarity with CRM or Learning Management Systems (LMS)
Communication & Hospitality Mindset: Strong interpersonal and problem-solving skills in both English and Arabic, with the professional maturity to communicate with corporate executives and HR directors
