Accountabilities
- Performing data entry of all epidemiological information into select databases program and creating appropriate reports, providing data for project development purposes.
- Ensuring that all data entered has been authorized and that appropriate documentation has been received (patient records, treatment monitoring, etc.). Ensuring that all data entry processes occur in a timely and efficient manner.
- Ensuring all data collected and entered databases is consistently accurate and complete. Being responsible for ensuring that quality control queries of the database are followed up, ensuring identification of data entry errors and corrections. Immediately reporting to the supervisor, any anomalies in the database
- Filing documents according to MSF standards
- Communicating regularly with the HCW’s, assisting in the (re) training, when necessary, on proper registration of patients, proper filling of the various forms, clarifying queries, obtaining missing information and correcting errors, ensuring they have ongoing sufficient supplies of necessary hardcopy data collection forms
- Assisting in the compilation and preparation of regular reports and providing detailed information to medical and laboratory teams (weekly, monthly, according to patient treatment requirements).
MSF Section/Context Specific Accountabilities
- Monitor the daily completion and upkeep of all active medical databases within the North Project to ensure zero data backlogs.
- Collaborate directly with the Medical Data Supervisor to audit data entries, ensuring all mandatory clinical and demographic fields are completely filled out by the teams.
- Maintain and troubleshoot the structural functionality of the data management systems at the Bourj Hammoud (BH) Clinic.
- fix, add, or remove items from system drop-down lists and entry forms.create and update needed data validation rules to make sure workflow is logical and accurate Note: All structural structural changes must be verified and agreed upon in collaboration with the Medical Data Supervisor before deployment.
- Standardize and deploy new data collection or tracking tools at the project level after securing formal agreement and validation from the Medical Data Supervisor.
- Periodically export raw medical datasets from the Phoenix system.
- Execute advanced data cleaning workflows to identify and correct data type mismatches, syntax errors, or duplicate entries.
- Securely package and share the finalized, cleaned medical data extracts with the Medical Data Supervisor for higher-level epidemiological analysis.
- Provide daily operational supervision and performance monitoring for the Data Encoders stationed in Tripoli.
- Act as the direct monitoring link for Data Encoders or archiving staff stationed at the Central Warehouse, ensuring their cataloging and data workflows match project timelines.
- Compile and submit a comprehensive weekly progress report to the Medical Data Supervisor detailing database completion rates, system issues fixed, cleaning milestones, and team throughput metrics.
- Perform field visits to PHCCs to train staff on phenics data entry and act as focal points for phenics support requests to make sure data entry flow is accurate.
- Report any phenics technical issues to data supervisor related to system errors, workflows and packages auto approval.
