The Warehouse Management Monitor will be responsible for monitoring and overseeing warehouse management activities across all warehouses supporting the UNICEF project. The position will ensure that project supplies, including nutrition commodities, equipment, and other project materials, are properly received, stored, documented, monitored, and distributed in accordance with IOCC and UNICEF requirements. Given the geographical spread and number of warehouses supporting the project, the position will conduct regular monitoring visits to warehouses, identify gaps and risks, follow up on corrective actions, and ensure accurate and timely stock reporting and documentation.
Responsibilities and Essential Functions
- Monitor warehouse management activities across all warehouses supporting the UNICEF project and ensure compliance with IOCC procedures, UNICEF requirements, and relevant storage standards.
- Conduct regular warehouse visits and physical stock checks to verify stock quantities, records, storage conditions, organization, security, and proper documentation.
- Monitor stock movements, including receipts, transfers, distributions, and handovers, and ensure that all movements are properly documented and authorized.
- Ensure proper implementation of FIFO/FEFO principles, with particular attention to nutrition supplies and expiry dates; promptly flag near-expiry, damaged, or unusable items and follow up on appropriate action.
- Review stock records, inventory reports, and supporting documents, and identify and follow up on discrepancies between physical and recorded stock.
- Maintain an updated overview of stock levels across all project warehouses and coordinate with relevant teams to identify shortages, excess stock, or redistribution needs.
- Manage and oversee the issuance of UNICEF project supplies to the relevant program teams, ensuring that supplies are released based on approved requests, properly recorded, and supported by the required documentation.
- Coordinate with partner organizations and relevant stakeholders regarding the receipt of supplies provided by IOCC, including delivery schedules, quantities, receiving arrangements, and required documentation.
- Ensure that supply handovers to partners are properly documented through signed delivery notes, receiving documents, and other relevant records, and follow up on any discrepancies or issues.
- Coordinate closely with the logistics, procurement and program teams to ensure smooth and accountable movement of supplies.
- Prepare regular warehouse monitoring reports, highlighting stock status, discrepancies, expiry risks, storage conditions, documentation gaps, and corrective actions required.
- Follow up on identified findings and ensure corrective actions are implemented and documented in a timely manner.
- Support audits, inventories, and other verification exercises by ensuring that warehouse records and supporting documentation are complete, accurate, and readily available.
- Provide guidance to warehouse focal points and relevant staff on proper stock management, documentation, storage, and accountability procedures.
- Undertake regular travel to project-supported warehouses and partner locations as required.
- Attend and participate in IOCC meetings, when necessary.
- Perform other duties as required or assigned.

Experience:
- 2 to 3 years of relevant work experience in warehouse management, logistics, inventory, or supply chain.
- Previous experience in warehouse monitoring or managing stock across multiple warehouses is preferred.
- Previous experience coordinating the receipt and handover of supplies to partners is an advantage.
- Previous experience in an NGO and humanitarian field is an advantage.
