Major Responsibilities
• Support the Operations Manager in maintaining the full operational task-management cycle from tasking to completion.
• Maintain task trackers covering active, pending, suspended, completed, and closed tasks.
• Follow up LMAC tasking, task approvals, documentation requirements, reporting requirements, completion submissions, and pending actions when delegated by the Operations Manager.
• Open, maintain, and control task dossiers in accordance with Beeatoona SOPs, LMAC requirements, and operational documentation standards.
• Track operational milestones, including mobilisation, deployment readiness, start of operations, suspension, resumption, progress, completion, QA review, submission, and closure.
• Coordinate the preparation and consolidation of daily operational reports, weekly progress reports, monthly LMAC reports, donor operational inputs, completion reports, EO find records, productivity reports, and operational dashboards.
• Supervise the Information Management Officer and ensure that maps, coordinates, task polygons, GIS products, IMSMA / LMAC forms, databases, and operational trackers are accurate, timely, and aligned with operational needs.
• Support the internal QA cycle by maintaining QA trackers, non-conformity records, corrective-action follow-up, QA visit records, and closure evidence.
• Conduct internal QA only for activities within his/her technical qualification, accreditation, and delegated authority.
• Maintain or supervise the maintenance of training records, competency records, accreditation files, Training Management Plans, training completion reports, refresher training records, and expiry / renewal trackers.
• Support the development and functioning of Beeatoona’s Operations Management Cell, including reporting, task tracking, QA follow-up, information management, documentation control, and other support functions as the structure develops.
• Coordinate deployment readiness checks, including task documentation, approvals, maps, personnel lists, equipment, medical arrangements, communications, reporting tools, and logistics readiness.
• Maintain an organized operational filing and document-control system for task dossiers, reports, QA records, training files, accreditation files, LMAC submissions, maps, correspondence, and templates.
• Prepare draft operational correspondence, submission packages, action-point trackers, meeting notes, and decision-support summaries for the Operations Manager.
• Escalate delays, documentation gaps, reporting inconsistencies, overdue corrective actions, missing approvals, or operational bottlenecks to the Operations Manager.
Required Qualifications and Experience
• University degree in humanitarian action, information management, engineering, operations management, security studies, public administration, social sciences, or another relevant field; equivalent professional experience may be accepted.
• Formal training or demonstrated competence in humanitarian mine action operations, information management, quality management, task management, operational coordination, or related fields.
• Minimum 5 years of relevant experience in humanitarian mine action, operations, information management, quality management, task management, field coordination, or related operational support.
• Minimum 2–3 years of supervisory, coordination, or delegated management experience in field operations or operational support.
• Demonstrated experience in operational reporting, task tracking, documentation, field coordination, or information management.
• Experience with LMAC / RMAC, national mine action authority reporting, task dossiers, completion documentation, or national coordination requirements is strongly desirable.
• Experience with IMSMA, GIS, Survey123, Excel dashboards, task dossiers, mapping products, digital data tools, and completion documentation is strongly desirable.
• Experience supporting QA/QC cycles, corrective-action tracking, training records, accreditation files, or audit preparation is desirable.
• Experience in Lebanon or comparable conflict/post-conflict environments is highly desirable.
• Experience working with EOD, BAC, clearance, NTS, EORE/CPP, or land release operations is strongly desirable.
• EOD Level 3, clearance supervisor qualification, QA/QC qualification, or equivalent recognised technical qualification is strongly preferred, especially if the role is expected to include technical internal QA of EOD, BAC, or clearance activities.
