Key Responsibilities
1. Overall Anniversay Program Management
- Support in developing and maintaining the 25th Anniversary master calendar and workplan
- Support in developing detailes implementation plans for all anniversary activities
- Maintain a master tracker of deadlines and deliverables ensuring activities remain on schedule
- Identify and flag risks, delays, and operational issues
2. Event Planning and Implementation
- Support in developing event briefs, programs, schedules, and run-of-show documents
- Conduct site visits and technical checks
- Manage event registration and participant lists
- Prepare event materials, name tags, programs, certificates, and giveaways
- Supervise event setup, implementation, and breakdown
- Manage on-site logistics and troubleshoot operational issues
- Prepare and monitor event budgets
3. Speakers, Guests and Stakeholders
- Manage invitations and confirmations
- Maintain speaker, guest, partner, and stakeholder databases
- Collect speaker bios, photos, presentations, and technical requirements
- Prepare speaker and moderator briefing materials
- Manage VIP, speaker, and guest requirements
- Handle post-event follow-up and thank you communications
4. Communications and Visibility
- Develop communications timelines for each anniversary activity
- Support in preparing social media content before, during, and after events
- Collect logos, photographs, biographies, and communication assets
- Manage event photography and videography requirements
- Organize and archive communication materials and event coverage
5. Partnerships and Sponsorhsips
- Identify potential anniversary partners and sponsors
- Maintain a database of partners and potential sponsors
- Support in preparing sponsorship and partnership materials
- Follow up on partnership and sponsorship oppportunities
- Manage agreed partner and sponsor deliverables
- Track contributions and commitments
- Ensure agreed sponsor visisbility and recognition
6. Anniversary Content and Institutional Memory
- Collect and organize material documenting NCC's 25-year history
- Collect archival photographs, publications, projects, milestones, and stories
- Reach out to former staff, researchers, alumni, partners, and community members for anniversary content
- Support the development of anniversary exhibitions, timelines, videos, publications, and legacy products
- Maintain an organized digital anniversary archive
7. Monitoring, Documentation and Reporting
- Track registrations, attendance, speakers, partners, and audience profiles
- Develop and administer participant feedback forms
- Prepare post-event reports
- Document event outcomes, lessons learned, and recommendations
- Maintain an annviersary KPI and activities tracker
- Maintain complete documentation for each anniversary activity
- Contribute to the final 25th anniversary report
Qualifications and Skills
- Bachelor's degree in a relevant field e,g, Communications, Event Management, Business Administration
- Experience in event coordination and manegement of multiple events
- Experience working in an academic setting
- Strong organizational and interpersonal skills
- Ability to work independently and collaboratively within a team
- Flexibility to wotk on-site during events as needed
- Strong written and verbal communication skills
- Attention to details and multitasking under deadlines
- Problem-solving and risk management
- Fluency in English. Good Arabic is an asset
