JOB OVERVIEW:
The Warehouse Stock Keeper (Assistant) supports the effective management and organization of program stock in Anera’s South Lebanon warehouse, ensuring that materials are properly received, stored, tracked, and distributed in line with Anera’s warehousing and inventory control procedures. Working under the direction of the Area Manager, the role helps maintain accurate inventory records and supports timely, well-documented stock movements.
KEY RESPONSIBILITIES:
The Warehouse Stock Keeper (Assistant) is responsible for the day-to-day receipt, storage, management, and dispatch of program stock in the assigned warehouse. Key responsibilities include:
- Receive, verify, and physically inspect incoming stock against delivery notes, purchase orders, packing lists, and Goods Received Notes (GRNs), and report any discrepancies to the Area Manager.
- Prepare and complete GRNs and other receiving documentation, ensuring all incoming stock is properly recorded.
- Support the safe unloading, handling, counting, and movement of stock within the warehouse.
- Store, arrange, and label stock in a safe, orderly, and clearly identifiable manner using shelves, pallets, racks, and storage areas as appropriate.
- Maintain accurate and up-to-date inventory records, including stock cards, bin cards, warehouse registers, and the inventory management system.
- Pick, count, pack, and prepare stock for distribution, and process Stock Release/Dispatch Forms in line with approved requests.
- Conduct regular physical stock counts and reconcile physical quantities against stock cards, bin cards, and system records, escalating unresolved discrepancies to the Area Manager.
- Monitor stock for expiry, shelf-life, and deterioration; apply FIFO/FEFO principles; and segregate and report damaged, expired, or unusable stock.
- Receive and document stock returns, verify quantities and condition, and update inventory records accordingly.
- Maintain the warehouse in a clean, organized, secure, and safe condition, and control access to ensure stock is only released on authorized instructions.
- Prepare and submit regular warehouse reports and a monthly stock reconciliation report to the Warehouse Manager and Area Manager.
- Provide accurate and timely warehouse, stock, and distribution data and documentation to support donor reporting, audits, and compliance reviews.
- Coordinate with program, logistics, procurement, finance, and grants teams to ensure smooth and properly documented stock movements.
- Complete a final stock reconciliation and handover of stock, records, and documentation to the designated focal point at the end of the service period.
- Perform other warehouse-related duties as assigned by the Area Manager, within the scope of the role.
QUALIFICATIONS and COMPETENCIES
Qualifications:
- Relevant higher national diploma or university degree or other advanced technical qualifications in logistics, supply chain, or a related field is an asset.
- Approximately 2 years of experience in warehousing, stock keeping, or inventory management, preferably with an NGO or in a similar operational setting.
Competencies:
- Basic computer literacy, including experience with Excel and/or inventory management systems.
- Strong organizational skills and attention to detail.
- Physically able to handle stock-related tasks, including lifting and moving goods.
- Reliability and a strong sense of accountability for entrusted stock and assets.
- Ability to work well within a team and follow instructions from the Area Manager.
