M.A.D Group International is a fast-growing European company specializing in headwear. We work across brand distribution, licensing and private-label production, supplying retailers and partners across Europe.
As we continue to grow, we are looking for a highly structured and detail-oriented Supply Chain & Order Coordinator to take ownership of the operational flow of products into our business.
About the roleThis is a hands-on and administrative role where accuracy, structure and follow-up are essential.
You will be responsible for making sure that products move correctly through the entire operational flow — from purchase order and product setup to inbound freight, warehouse receipt and inventory.
You will work closely with our sales team, warehouse, suppliers and logistics partners and make sure that quantities, prices, product data and delivery dates are correct throughout the process.
This is not a design or product development role. The focus is on supply chain administration, order management, systems and execution.
Key responsibilities
- Create, review and send purchase orders to suppliers
- Book and coordinate inbound freight to our warehouse
- Follow up production and expected delivery dates with suppliers
- Plan timelines and deadlines to make sure customer deliveries are completed on time
- Reconcile incoming deliveries against purchase orders and identify discrepancies
- Make sure we receive the correct products, quantities and prices
- Create and maintain products, SKUs, EAN codes, prices and product information in our business systems
- Upload and manage sales orders
- Maintain and update purchase and sales price lists
- Monitor inventory levels and identify when products need to be replenished
- Help ensure that we have the right assortment and stock levels available
- Follow open purchase orders and proactively manage delays or missing information
- Handle discrepancies related to products, quantities, pricing or deliveries
- Maintain high-quality master data across our systems
- Continuously improve administrative routines and supply chain processes
Who we are looking forFor this position, attention to detail is critical.
A wrong EAN code, quantity, purchase price or delivery date can impact the entire flow from supplier to customer, so we are looking for someone who naturally double-checks their work and enjoys keeping things organized.
You are likely someone who enjoys working with systems, Excel, orders, numbers and deadlines. You are comfortable managing many tasks at the same time without losing track of the details.
RequirementsPrevious hands-on experience working in Microsoft Dynamics 365 Business Central is a requirement for this position.
In addition, we are looking for someone with experience in supply chain, purchasing, order administration, logistics or a similar operational role.
You should also have strong Excel skills, good administrative ability, professional English communication skills and experience working with multiple suppliers, orders and deadlines at the same time.
Experience with international freight, inventory management, retail, wholesale or consumer products is an advantage.
