Automotive Service AdvisorPosition Overview
The Automotive Service Advisor is responsible for acting as the primary point of contact between customers and the service workshop. The role focuses on understanding vehicle concerns, arranging service appointments, preparing repair orders and estimates, coordinating repair activities with technicians, keeping customers informed, and ensuring a professional vehicle service and after-sales experience.
The position requires a combination of customer-service, automotive, administrative, and communication skills. The Service Advisor works closely with technicians, workshop controllers, parts teams, warranty departments, and management to ensure repair work is completed accurately, efficiently, and within agreed timelines.
Key Responsibilities
- * Welcome customers professionally and manage vehicle service reception for scheduled appointments and walk-in customers.
- Listen carefully to customer concerns and obtain accurate information regarding vehicle symptoms, maintenance requirements, previous repairs, and requested services.
- Conduct or coordinate vehicle walk-around inspections and document the vehicle's condition, mileage, existing damage, and customer concerns.
- Review vehicle service history, maintenance schedules, warranty status, recall information, and previous repair records where applicable.
- Prepare accurate repair orders containing customer concerns, recommended services, repair requirements, parts, labour, and other relevant information.
- Translate customer descriptions of vehicle problems into clear and appropriate technical terminology for workshop technicians.
- Prepare service estimates, quotations, and cost breakdowns and explain proposed repairs, parts, labour, and expected completion times clearly to customers.
- Obtain customer approval and required signatures before commencing additional or chargeable repair work.
- Coordinate with technicians, foremen, job controllers, workshop supervisors, and parts departments to ensure repair work is properly scheduled and completed.
- Monitor work-in-progress vehicles and follow up regularly on repair status, outstanding jobs, parts availability, and expected completion times.
- Keep customers informed about repair progress, delays, additional findings, parts availability, revised costs, and changes to the promised completion time.
- Contact customers promptly when additional repairs or maintenance work are identified and obtain appropriate authorization before proceeding.
- Coordinate parts requirements with the Parts Department and follow up on backordered or delayed components.
- Explain manufacturer-recommended maintenance, service intervals, technical issues, warranty coverage, and available repair options to customers.
- Promote relevant service, maintenance, accessories, parts, warranty, and after-sales products in a professional and customer-focused manner.
- Identify appropriate upselling and preventive-maintenance opportunities based on vehicle condition, service history, and manufacturer recommendations.
- Coordinate warranty claims, service campaigns, recalls, goodwill requests, and related documentation where applicable.
- Ensure warranty-related repairs and claims are supported by accurate documentation and follow manufacturer and company procedures.
- Review completed repair orders and confirm that requested work and authorized additional repairs have been completed.
- Coordinate or conduct final vehicle inspections and road tests where appropriate to confirm that reported issues have been addressed.
- Prepare and explain final invoices, including parts, labour, services, taxes, and other applicable charges.
- Ensure customers understand completed repairs, maintenance recommendations, warranty information, and future service requirements during vehicle handover.
- Ensure required customer signatures, payment confirmation, vehicle collection documentation, and other service records are completed accurately.
- Follow up with customers after service to confirm satisfaction, identify unresolved concerns, and encourage future service appointments.
- Handle customer enquiries, complaints, service disputes, and technical concerns professionally and escalate complex issues to the Service Manager when required.
- Maintain accurate customer, vehicle, repair, service history, appointment, warranty, and communication records within dealership or workshop systems.
- Use DMS, service-management, CRM, manufacturer, warranty, and other relevant systems accurately and responsibly.
- Monitor daily appointments, open repair orders, carry-forward vehicles, promised completion times, and outstanding customer cases.
- Support customer satisfaction, retention, service revenue, appointment conversion, upselling, and other relevant service KPIs.
- Prepare daily and periodic reports covering service activity, open repair orders, customer follow-ups, warranty cases, sales performance, and unresolved issues.
- Maintain a professional, organized, clean, and customer-friendly service reception and work area.
- Ensure all customer and vehicle information is handled confidentially and in accordance with company policies and applicable requirements.
- Follow workshop safety procedures, manufacturer standards, company SOPs, ethical business practices, and applicable automotive regulations.
- Maintain up-to-date knowledge of vehicle models, technical developments, maintenance procedures, service campaigns, manufacturer requirements, and new automotive products.
- Assist the Service Manager and workshop team with special assignments, customer events, service campaigns, and continuous improvement initiatives.
Requirements
- * Diploma, Advanced Diploma, or Bachelor’s degree in Automotive Engineering, Mechanical Engineering, Automotive Technology, Business Administration, Customer Service, or a related field is preferred.
- Proven experience as an Automotive Service Advisor, Aftersales Executive, Service Receptionist, Workshop Coordinator, or in a similar automotive customer-service role.
- Experience in an automotive dealership, authorized service centre, independent workshop, commercial vehicle, or aftersales environment is preferred.
- Strong basic understanding of vehicle systems, maintenance requirements, diagnostics, repair processes, spare parts, and automotive terminology.
- Ability to accurately understand customer complaints and communicate relevant information to technicians and workshop personnel.
- Strong knowledge of repair orders, service estimates, quotations, job scheduling, warranty procedures, and vehicle handover processes.
- Excellent customer-service, communication, interpersonal, negotiation, and complaint-handling skills.
- Strong ability to explain technical automotive information clearly to customers without unnecessary technical complexity.
- Experience with DMS, CRM, workshop-management, warranty, inventory, or automotive service systems is an advantage.
- Good computer skills with proficiency in Microsoft Office and digital service-management systems.
- Strong sales awareness with the ability to identify appropriate maintenance, service, parts, and accessory opportunities.
- Strong organizational and follow-up skills with the ability to manage multiple customers, repair orders, technicians, and deadlines.
- Ability to work effectively under pressure in a busy workshop or dealership environment.
- Strong attention to detail when preparing repair orders, quotations, invoices, warranty documentation, and customer records.
- Professional appearance, positive attitude, accountability, and customer-focused approach.
- Valid driving licence is required or preferred depending on company and operational requirements.
- Automotive or manufacturer-specific technical training and certifications are an advantage.
- Proficiency in English and Bahasa Malaysia is preferred; Mandarin, Cantonese, Arabic, or other languages may be an advantage depending on the customer base.
- Willingness to work weekends, public holidays, shifts, or extended hours according to workshop and dealership operating requirements.
